Finance Shared Services Executive – Accounts Payable

Roles & Responsibilities:

Invoice Processing

  • Receive, verify, and process supplier invoices in accordance with company policies.
  • Ensure accurate coding and timely booking of invoices into the SAP system.
  • Match invoices with purchase orders and goods receipts where applicable.
  • Resolve discrepancies and liaise with procurement and business units.

Staff Claims Management

  • Review and validate employee expense claims for compliance with company travel and expense policies.
  • Process staff reimbursements accurately and on time.
  • Communicate with employees regarding claim status and documentation issues.
  • Support month-end accruals and reconciliations related to staff claims.

Vendor Master Data Maintenance

  • Create and update vendor records in the SAP system, ensuring accuracy and completeness.
  • Perform regular reviews and cleansing of vendor master data to prevent duplication and errors.
  • Coordinate with procurement and compliance teams to validate vendor information.
  • Ensure vendor data complies with internal controls and regulatory requirements (e.g., tax ID, VAT, banking details).

Reporting and Compliance

  • Assist in preparing AP-related reports for management and audit purposes.
  • Ensure compliance with internal controls, audit requirements, and local tax regulations.
  • Support internal and external audits by providing necessary documentation.

Stakeholder Support

  • Respond to inquiries from vendors and employees regarding payments and claims.

Maintain strong relationships with internal departments and external suppliers.

Job Requirements:

  • Diploma or Degree in Accounting, Finance, or related field.
  • 2–3 years of experience in Accounts Payable or Shared Services.
  • Familiarity with SAP systems
  • Strong attention to detail and data accuracy.
  • Good communication and interpersonal skills.
  • Ability to manage high-volume transactions and meet deadlines.
