More about the role:

The Event Manager – ESAP will act as a crucial bridge between Sales and Resorts, taking charge of creating, pitching, and delivering large-scale events while mentoring Resort M&E (Meetings & Events) teams to elevate their product offerings. This position focuses on ensuring operational excellence in the group segment while staying aligned with the larger MICE regional strategy.

This role works collaboratively with the ESAP MICE Project Manager to ensure strategic alignment, leveraging insights to refine group offerings that resonate with ESAP clients..

Responsibilities and Tasks:

Mission 1: Lead the Delivery of Bigger and Complex Events

• Take ownership of operational planning, client communication, and event execution for large-scale and strategic group events.
• Collaborate with Sales teams to assist in pitching and presenting tailored event proposals to high-profile clients.
• Serve as the primary liaison between Resorts, Sales, and external suppliers, ensuring smooth coordination and delivery of events.
• Ensure group logistics (transport, transfers, supplier resources) are managed efficiently with no interruptions to the client experience.
• Provide on-site event presence as necessary, acting as the operational leader to ensure flawless delivery and troubleshooting when required.

Mission 2: Develop Flexible Event Packages for Sales Teams

• Create user-friendly, customizable event packages tailored to the MICE segments and Affinity group (Friends & Families / Sport retreats / International Schools, Weddings…), ensuring adaptability and ease of use for Sales teams.
• Identify and establish partnerships with local and regional vendors/suppliers to streamline sourcing for services such as catering, logistics, and entertainment, enabling standardization across resorts.
• Compile comprehensive event portfolios and contact lists for each resort, showcasing a diverse range of event possibilities.
• Strengthen Club Med's competitive edge by aligning event packages with regional trends and incorporating the cultural nuances of ESAP clientele.
• Continuously refine the design and delivery of sales materials to address the unique needs of various geographies and markets.

Mission 3: Mentor and Support Resort M&E Teams for Product Excellence

• Work one-on-one with Resort M&E Managers to help:
• -Elevate their understanding of client needs and inspire creativity in offerings.
• -Refine their on-resort M&E products to be more appealing than competitors' offerings while staying operationally feasible.
• Conduct knowledge-sharing sessions on event trends, supplier usage, and market updates within ESAP.
• Provide support and guidance to Resort Managers during the planning and execution of key events, particularly for operationally complex or first-time client groups.

Mission 4: Align Operational Insights with Strategic ESAP MICE Objectives

• Liaise with the ESAP MICE Project Manager to provide operational learnings, client feedback, and data to refine regional strategies.
• Use post-event evaluations to recommend updates to packages and products, ensuring that operations align with both Sales goals and resource capabilities.
• Collaborate periodically on joint training initiatives to share operational insights with wider MICE teams.

Requirements:

• Minimum 3 years' experience in managing large-scale corporate or MICE events
• Strong in event operations, logistics planning, vendor coordination, and on-site execution
• Able to work closely with clients and collaborate effectively with internal teams and suppliers
• Strong problem-solving skills; able to work under pressure and meet tight deadlines
• Leadership mindset with the ability to mentor and guide teams
• Proficient in Microsoft Office and familiar with event/project management tools
• Knowledge of scenography, storytelling for events, and Salesforce will be an added advantage
• Mandarin proficiency will be an added advantage
