Albert Wines & Spirits is one of Malaysia's leading distributors of premium wines, spirits, and beverages, operating across both trade and e-commerce channels. Our operations handle a high volume of daily transactions and require strong accuracy, speed, and coordination between finance, warehouse, and sales teams.

We are expanding our Finance team and looking for a detail-oriented Accounts Executive (Invoicing / Billing) to support high-volume invoice processing and act as backup coverage within the invoicing function.

Position Overview

The Accounts Executive (Invoicing / Billing) is responsible for managing daily invoice processing for both B2B trade and B2C e-commerce orders. This role involves high-volume data entry, accuracy in billing, and close coordination with the warehouse and sales teams to ensure timely order fulfilment.

This position is critical to ensuring smooth operations, correct revenue recording, and uninterrupted invoicing support during peak periods or staff leave.

Key Responsibilities

Invoice Processing & Billing

  • Prepare and process 30–100 invoices per day accurately using the SQL accounting system.
  • Handle invoicing for both trade customers and e-commerce orders.
  • Ensure invoices are generated promptly and passed to the warehouse team for order fulfilment.
  • Verify pricing, quantities, discounts, and customer details before invoice issuance.

Internal Coordination

  • Coordinate closely with the Warehouse, Sales, and E-Commerce teams to ensure orders are invoiced and delivered correctly.
  • Support internal purchasing transactions between AlbertWines2u (e-commerce) and Albert Wines & Spirits.
  • Act as backup support for the invoicing team during leave or peak periods.

Records & Reporting

  • Maintain accurate invoicing records, filing, and documentation.
  • Assist in basic reconciliation, invoice tracking, and audit preparation when required.
  • Flag discrepancies or billing issues promptly for resolution.

Requirements

  • Diploma or Degree in Accounting, Finance, Business Administration, or related field.
  • 1–3 years of experience in invoicing, billing, or finance operations.
  • Fresh graduates are encouraged to apply.
  • Prior internship or exposure to invoicing, billing, or
    Experience using SQL, AutoCount, or other ERP/accounting systems
    is an advantage but not mandatory.
  • Comfortable handling high-volume transactional work with strong attention to detail.
  • Proficient in Microsoft Excel.
  • Able to work under pressure, meet tight deadlines, and maintain accuracy.
  • Strong coordination and communication skills.
