Senior Administrative Officer

Job Description:
We are looking for a detail-oriented and experienced Administrative Officer to support our day-to-day operations. This role is essential in ensuring all administrative processes across departments are handled efficiently and professionally. You will be part of a fast-paced team within the premium automotive industry, supporting XPEL Malaysia.
Responsibilities:
- Handle general office administrative tasks such as filing, document control, and data entry.
- Assist the Senior Business Development Manager with preparing letters, proposals, scheduling appointments, arranging meetings, and follow-ups with clients or partners.
- Coordinate with internal departments to ensure smooth documentation flow and timely updates.
- Prepare memos, purchase orders, and basic internal reports.
- Liaise with vendors and service providers for office supplies, maintenance, and other operational needs.
- Maintain accurate and up-to-date records for employee attendance, leave applications, and administrative files.
- Provide administrative support to the Finance Manager when required, such as documentation assistance and simple follow-ups.
- Track deadlines, appointments, and task progress to ensure timely completion.
- Perform any additional tasks assigned by management to support company operations.
Requirements:
- Minimum Diploma in Business Administration or related field.
- At least 3 years of working experience in general administration.
- Proficient in Microsoft Office (Excel, Word, Outlook).
- Strong organizational and multitasking skills.
- Good written and verbal communication in English and Bahasa Malaysia.
- Able to work independently with minimal supervision.
- Prior experience in automotive or corporate office environment is an advantage.
