Job Overview
We are seeking a highly organized and detail-oriented Estate Chief Clerk to oversee administrative operations within our palm oil estate overseas located in Papua New Guinea. The Estate Chief Clerk will play a crucial role in maintaining accurate records, coordinating schedules, and facilitating efficient communication among team members.
JOB DESCRIPTION
- Perform clerical/administrative assignments in accordance with established procedures and under general instruction.
- Responsible in ensuring company policy and procedure are successfully implemented and properly adhered.
- Ensuring proper record-keeping of employee information.
- Office administrative works including the coordinating foreign workers application and HR related matters.
- To coordinate on all activities related with foreign and local workers.
- Ensuring all occupational safety and health requirements are complied with; including ensuring workers are adequately trained & equipped.
- Performs administration duties as required such as monitoring of company vehicle usage, business licenses, stationeries, uniforms and any other matters.
- Organize storage and filing system of paperwork, documentation control and computer-based information.
- File and maintain accounting documents and other records of business financial transactions.
- Print, scan and update documents in accordance to established office practices.
- Verify invoices, accounting documents and other documents.
- Prepare reports, letters, payment, cheque writing and issue receipts and other documents.
- Receive phone calls, email, guests or official visitors.
- Assist in the administration and office support functions by maintaining office records, personnel files and answering routine questions about company policy.
- To perform estate Account and prepare workers' salaries every month-end closing.
- Any tasks / objectives which may be assigned by your Supervisor / Manager Supervision & control of workers with a view of maximizing productivity.
REQUIREMENTS
- Candidate must possess at least Higher Secondary (SPM)/ LCCI/ Diploma in Business Admin/Management/Human Resource or equivalent.
- Meticulous and responsible, able to multi-task and work in a fast-paced environment.
- Computer literate in Microsoft Word, Excel and PowerPoint.
- Willing to work in estate and Plantation environment.
- Able to liaise with internal and external parties.
- At least 2 year (s) of working experience in administration field and palm oil administration is an added advantage.
- Must be willing to work in overseas (outside of Malaysia).
