As Assistant Manager, Support Services, you will support the Agency Force, Agency Growth Team, and the Replacement of Policy Committee in executing operational processes, ensuring compliance, participating in audit reviews, and contributing to system and process enhancement initiatives. You will also take part in staff activities and mandatory training to stay aligned with company goals and standards.

1. Replacement of Policies (ROP) / Certificates (ROC) Administration

  • Manage ROP/ROC email communications and respond promptly to inquiries.
  • Validate appeals, conduct fact-finding, and prepare recommendations for Committee endorsement.
  • Coordinate Committee Meetings and secure approvals from the Appointed Actuary/CEO.
  • Maintain and update ROP/ROC Master Listings with proper documentation and reporting.
  • Prepare and execute ROP Offenders Review reports, obtain sign-offs, and communicate outcomes.
  • Administer PBTB ROC appeals, including filing, revocation updates, performance adjustments, and agent notifications.

2. Agency Operations & Support

  • Provide administrative support for ad-hoc tasks and projects assigned by superiors.
  • Collaborate with cross-functional teams to ensure smooth execution of agency-related initiatives.
  • Assist in tracking and reporting agency performance metrics, contests, and expenses.
     

3. Compliance, Governance & Audit

  • Ensure all processes comply with internal SOPs and regulatory guidelines.
  • Participate in internal and external audit reviews, including preparation of documentation and responses to audit queries.
  • Support documentation, scanning, and archiving in line with audit and compliance standards.

4. System & Process Enhancement

  • Identify opportunities for process improvement and automation within agency support operations.
  • Collaborate with relevant teams to implement system enhancements and workflow optimizations.
  • Provide feedback on system usability and contribute to UAT (User Acceptance Testing) when required.

5. Employee Engagement & Training

  • Take part in team-building sessions, town hall meetings, and other staff activities to build stronger working relationships and stay connected with company updates.
  • Attend and complete all mandatory training programs as required by the company to ensure compliance and continuous development.

Job Requirements

Education

  • Bachelor's degree in Business Administration, Insurance, or related disciplines.

Experience

  • Minimum 2–3 years of experience in insurance operations, agency support, or customer service.
  • Prior experience in life insurance or agency management is preferred.

Skills & Attributes

  • Strong organizational and administrative skills.
  • Detail-oriented, analytical, and able to manage multiple tasks under pressure.
  • Excellent communication and interpersonal skills for cross-functional collaboration.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint).
  • Familiarity with insurance systems and reporting tools is an advantage.
