JOB SUMMARY
To provide high-level administrative and digital support to the Head of Digital Channel Department, ensuring smooth coordination of departmental activities, efficient communication, and effective management of Digital Channel Department.
JOB RESPONSIBILITIES
A. Management of Activities / Office of The Head of Department
- Manage/arrange appointments, meetings, discussions, and other activities for the Head of Department, and update them in the calendar system/notice board/activity book.
- Manage incoming calls to the Head of Department's Office: record received calls, take messages (if any), and inform the Head of Department.
- Coordinate and manage the filing system in the Head of Department's Office for meetings to be attended by the Head – complete and organized files must be prepared before the meeting date.
- Manage and coordinate arrangements for transportation, accommodation, and travel claims for the Head of Department (where applicable).
- Coordinate meeting room preparation – booking, setting up the meeting room (before/after meetings), notifying meeting members.
B. Records / Files / Information / Reports Handling
- Perform initial actions on documents/information (received via email, fax, manual, etc.) – obtain feedback/clarification from relevant internal or external parties.
- Prepare drafts or provide responses as instructed by the Head of Department for communication to relevant parties, in the form of email, memo, letter, minutes, reports, etc.
- Collect and obtain feedback on actions required by the Department for meetings attended by the Head of Department based on Action Lists/Meeting Minutes received.
- Act as coordinator for the Annual Performance Evaluation Report (executive category) for the Digital Channel Department.
JOB REQUIREMENTS
- Malaysian citizen.
- Pass in Bahasa Melayu, including oral test in Sijil Pelajaran Malaysia (SPM) or equivalent qualification recognised by the Government.
- Diploma in Secretarial Science or equivalent
- Has relevant working experience in secretarial and related field
- Knowledge and ability to operate personal computer/laptop
- Knowledge of MS Word / MS Excel / MS PowerPoint
- Proficiency in Microsoft Teams, Zoom, or other collaboration platforms.
- Managing calendars, meetings, and virtual appointments.
- Ability to create visually appealing presentations using PowerPoint.
- Light photo editing or formatting skills for internal communications.
