Project Support Analyst

Job Summary

We are seeking a diligent and proactive Project Support Analyst to join our IT Project Management team. This junior-level position provides essential day-to-day administrative and coordination support to Project Managers. The role is heavily focused on documentation, project tracking, and facilitating communication across multilingual teams. Responsibilities also include light financial tracking, such as consolidating invoices and purchase orders for monitoring purposes. The ideal candidate will possess foundational knowledge of technology project management, software development life cycle, and cloud technologies.

Key Responsibilities

Project Coordination & Administration

• Provide comprehensive administrative and operational support to Project Managers to ensure the efficient execution of project plans.
• Assist in the coordination of project resources, information flow, and task dependencies.
• Actively monitor project schedules and assist in tracking milestones and deliverables, escalating potential delays to the Project Manager.

Documentation & Reporting

• Assume primary responsibility for the creation, version control, and archival of all project documentation, including technical specifications, status reports, and requirement logs.
• Rigorously track project tasks, issues, and risks using project management software (e.g., Lark, JIRA).
• Assist in the consolidation and tracking of project-related financial documents, such as purchase orders (POs) and invoices, ensuring they are correctly filed for budget monitoring.
• Assist in compiling and distributing regular project status dashboards and reports, incorporating updates on tasks, milestones, and basic budget tracking.

Multilingual Communication & Stakeholder Liaison

• Serve as a critical communication liaison, facilitating clear and accurate information flow and comfortable conversing with stakeholders.
• Assist in translating and clarifying technical and business requirements or queries to ensure complete team alignment.

Meeting & Process Support

• Manage the end-to-end logistics for all project meetings (e.g., stakeholder reviews, sprint planning), including scheduling, preparing agendas, and distributing materials.
• Capture detailed, accurate minutes and formally track all action items to completion.

Required Skills & Qualifications

Experience & Education

• Education: Bachelor's degree in Computer Science, Information Technology, Project Management or a related discipline (or equivalent practical experience).
• Experience: 1-2 years of relevant experience in project coordination, PMO support, technical administration, or a related field. New graduates are welcome to apply.

Core Technical & Project Knowledge

• Language Proficiency: Professional proficiency (written and verbal) in English, Malay, and Mandarin will be an added advantage.
• Project Management: Foundational understanding of project management principles, methodologies (e.g., Agile, Waterfall), and key knowledge areas (e.g., scope, schedule, risk).
• SDLC: Demonstrable exposure to the Software Development Life Cycle (SDLC).
• Application Design: Familiarity with the concepts and phases of application design.
• QA Testing: Foundational knowledge of Quality Assurance (QA) testing principles (e.g., defect reporting, bug life cycles). Cloud Technology: Demonstrable interest in and foundational understanding of cloud technologies (e.g., AWS, Azure, GCP).
• General Tech Skills: Proficiency in modern productivity and collaboration suites (e.g., Microsoft 365, Google Workspace), particularly with spreadsheet, word processing, and presentation software.
