Role Summary

The Operations Support Associate is responsible for production planning, domestic & export order management, logistic coordination, and other general administrative support.  This role requires strong coordination between production, quality, warehouse, procurement, and logistics, as well as external parties such as customers, freight forwarders and external agencies.

Key Responsibilities

Production Planning

  • Plan and monitor production schedules based on confirmed sales orders, forecasts, and stock levels.
  • Prepare, maintain and issue production records for factory production supervisors and monitor progress against plans.
  • Coordinate with procurement to ensure raw materials and packaging are available. Check actual stock levels against plan.
  • Coordinate with label printer
  • Liaise with production management on label printing and content.
  • Liaise with the lab/QA team for Certificate of Analysis (COA) and other quality documents.
  • Track production performance, highlight bottlenecks, and propose corrective actions.
  • Maintain accurate data on production output, wastage, and efficiency.

Domestic and Export Order Management

  • Manage the end-to-end process from order confirmation to shipment delivery.
  • Prepare, check, and submit all order documents (invoice, COA, DO)
  • For export orders prepare company documents, and initiate issuance of export documents by external agencies (COO/FTA, health certificate/certificate of free sale, etc.).
  • Ensure compliance with customs, international trade regulations, and customer requirements.
  • Liaise with freight forwarders, shipping agents, and authorities for logistics booking, customs clearance, and shipment tracking.
  • Coordinate with warehouse on packing, labelling, palletizing, and container loading.
  • Provide timely updates to customers and internal teams on shipment status.
  • Maintain accurate shipment records for audits and reporting.

Logistics Coordination

·      Schedule, and book cargo collections. Liaise with customers, logistic companies, and lorry drivers.

·      Manage and monitor actual lorry arrivals for cargo collection. Take corrective actions if necessary.

·      Prepare DO for each shipment

Other Administration & Coordination

  • Issue Debit Notes & Credit Notes as required.
  • Serve as the key link between production, sales, procurement, and QC departments.
  • Support continuous improvement initiatives in production, supply chain and export processes.
  • Ensure all activities comply with company SOPs, ISO, GMP, and other relevant regulations.

Requirements

  • Business administration or commercial background with minimum of 2–4 years of experience in production planning and/or export coordination.
  • Knowledge of Incoterms, international shipping procedures, and customs documentation.
  • Clear thinker, takes initiatives, accountable and responsibility for own work.
  • Strong ability to work with others at all levels of internal staff and external partners.
  • High level of accuracy at all tasks with strong attention to details.
  • Strong organizational, analytical, and multitasking skills.
  • Proficiency using standard company IT systems, especially, MS Word and Excel; knowledge of ERP/MRP/logistics systems is an advantage.
  • Good communication skills in English (written and spoken); additional languages are a plus.
  • Ability to work independently, meet deadlines, and manage multiple priorities.
