Job Summary
Lead and support end-to-end immigration and regulatory compliance work for clients/companies in various industries across Malaysia, with primary focus on East Malaysia—especially Sarawak (followed by Sabah and Labuan), and also supporting for West Malaysia in coordination with Kuala Lumpur HQ. This role covers Immigration & Visa processing, Business Licensing, and documentation control to meet internal SLAs, audit standards, and PDPA compliance. You will train and mentor junior team member(s) in Kuching, work closely and collaboratively with the HQ team on various matters, including training new staffs and handling complex and special cases and also escalated matters and you will also need operate independently when required. Training in Business Licensing will be provided if required (prior business licensing experience is an advantage but not mandatory). Familiarity with Sarawak's GENESIS ecosystem and related portals (e.g., EXPRT, SANSOLS, HAVEN) and federal/related flows (e.g., eVDR, FWTA) is an added advantage.
Key Role & Responsibilities
- End-to-End Case Ownership: Manage the full lifecycle of applications and including, new applications, renewals, transfers and cancellations for all pass/visa/work permit types, including EP, PVP, DP, SP, LTSVP, spouse visa and various other related categories—primarily for Sarawak, while supporting for Sabah and Labuan; including West Malaysia as well (in coordination with HQ).
- Government Liaison (Sarawak-first): Serve as the primary point of contact with relevant authorities (e.g., Sarawak State Immigration Department, ILMU, JTK, Labour/IR where relevant, local councils/authorities for licensing). Handle escalations, complex/exception cases, clarifications, appeals, and compliance rectifications, and keep HQ informed. Prepare and lodge submissions Via physically/in person to government regulatory bodies OR via state/federal online portals such as GENESIS, EXPRT, etc.
- HQ Collaboration: Work closely with Kuala Lumpur HQ on strategy, case reviews, submissions, approvals, escalations, complex/special cases, SOP alignment and workload balancing across East and West Malaysia and etc.
- Team Training & Mentorship: Train, mentor, and supervise junior(s) in the Kuching team; Enforce and working standards, trackers, and SOP adherence; review drafts/submissions before lodgment.
- Client Communication & Documentation: Communicate with clients/applicants to request, clarify, and follow up on various documents; draft letters, forms, reports and submission packs for immigration and business licensing.
- Tracking & Compliance: Maintain accurate case trackers, dashboards, and deadlines; monitor visa/pass expiry and ensure timely submissions; uphold PDPA and audit-ready file controls (digital and physical).
- Business Licensing Support: Prepare and submit various licensing/permit applications (municipal/sectoral) in East Malaysia; coordinate with HQ for West Malaysia filings. (Training provided if needed.)
- Operational Support: Support team workflow, assist colleagues with administrative tasks when needed, and respond promptly and accurately to applicants, clients, managers, and government & regulatory authorities as well as colleagues.
Requirements
- Sarawakians only (based in or willing to be based in Kuching).
- A Diploma or a Bachelor's Degree in Law (LL.B.), HR, Business, Administration, International Relations & Foreign Affairs or related are strongly encouraged to apply.
- Minimum of 3 years and above of relevant experience in immigration & Mobility/Business licensing/Legal/HR/Administrative or related.
- Candidates between the range of 3 to 10 years of relevant experience are highly preferred and is required.
- Proven ability to work independently on escalations/complex cases while collaborating closely with HQ and guiding junior teammates.
- Candidates with 3 years will be considered for a junior role, but this senior role requires demonstrated independence in case handling.
- East (Sarawak) Malaysia exposure is required — experience handling EP, PVP, DP, SP, LTSVP, spouse visa and related pass types.
- Familiarity with West Malaysia processes (e.g., ESD/MYXpats, MDEC, MIDA) is an added advantage.
- Willing and able to travel to government agencies for submission in Sarawak
- Computer literate with skills in Microsoft Office 365, Outlook, etc.
- Proficient in both written and spoken English and Bahasa Malaysia. Proficiency in additional languages and other local languages ability is an added advantage.
- Excellent documentation discipline, accuracy, and deadline management with strong attention to detail and organization. Must have strong stakeholder communication.

Location: Fully office-based in Kuching, Sarawak
Working Hours:
· Monday to Friday: 8:30 AM – 5:30 PM
