Key Responsibilities:
- Maintain and update records of workshop lorry spare parts, work orders, and service documentation.
- Prepare daily, weekly, and monthly workshop reports.
- Coordinate with the procurement and stores departments for required parts and materials.
- Maintain accurate records of tools, equipment, and calibration schedules.
- Assist in scheduling and tracking lorry servicing and maintenance activities.
- Record workshop employees' attendance, overtime, cash advances, and job completion status.
- Handle filing and documentation (both soft and hard copies).
- Ensure compliance with safety, quality, and company policies.
- Manage customer service paperwork, invoices, and internal charge sheets.
- Collect all invoices and submit them to the HQ office.
- Handle summons, PUSPAKOM inspections, and road tax renewals.
- Prepare and book monthly PUSPAKOM truck inspections in advance.
- Manage petty cash (RM500) and maintain accurate records.
- Update all renewals in the system and manage the GPS tracking system for lorry service records.
- Ensure all spare part purchases are supported with invoices before releasing payment.
- Provide administrative support to the Workshop Manager and other team members as needed.
Qualifications and Experience:
- Minimum of a High School Diploma; a Certificate or Diploma in Administration, Business, or a related field is preferred.
- 1–3 years of administrative experience, preferably in a workshop or service environment.
- Proficient in Microsoft Office (Word, Excel, Outlook) and GPS tracking systems.
- Basic understanding of workshop operations and technical terminology is an advantage.
