Aufgaben

OBJECTIVE OF JOB

  • Provide support to daily Operations & Quality Management on Building, Facilities, environmental, Work Safety and Health and Occupational Safety related matters or issues
  • Deputy to Quality Management to ensure compliance with in-country legislation in terms of statutory maintenance, ISO Management and Audits, Crisis Management related tasks and roles.
  • Management and overseeing the building authority compliance, building/facility maintenance & repairs, hygiene/cleanliness
  • Fulfilment of Security Officer role by supporting the management of the location in their responsibility to safeguard employees, assets, processes, visitors, customers and partners, information and data of the company.
  • Fulfilment of Fire Protection Officer/Safety Officer by in accordance with Location and Facility Security policy B 82
  • Fulfilment of Occupational Safety in accordance with the Occupational health and safety policy A 30.2
  • Coordinating with 3PL and suppliers on all installations and refurbishments including outdoor landscaping
  • Managing the upkeep of equipment and supplies to meet health and safety standards
  • Inspecting building structures to determine the need for maintenance or repairs
  • Purchasing - Cost Saving Initiatives on administrative related.
  • Coordination with Administrative – Event management for corporate awareness activities

JOB DESCRIPTION

Environmental Management

  • Maintenance of the GSP Environmental Risk Matrix. Collaboration with 3PL on derivation of opportunities and environmental targets
  • Establish and ensure the defined Environmental targets are fulfilled as per management review report
  • Communicate closely with 3PL to observe the management tasks according to the TCR matrix for environmental protection
  • Work with various functions to identify projects and develop initiatives to achieve process excellence. Plan and manage environmental activities in accordance with agreed budgets and timescales.

Fire Protection Officer / Safety Officer

  • Assist the location manager with fire protection problems and in the implementation of solutions.
  • Prepare emergency plans and assist to conduct fire drill exercise

Security Officer

  • Being the liaison between Corporate Security (CS) and location
  • Conducting the annual risk review (ARP) at the location(s) and updates the data in GLoRIS.
  • Managing security related incidents at the location and informing of Corporate Security ("Incident Managing Process")
  • Conducting risk analysis of the location and ensure it is in accordance with the relevant guideline (B82)

Workplace Safety Health (WSH) Inspection

  • Conduct office risk assessment and monthly fire safety inspection (office) together with Fire Safety Manager. Ensure any open findings in the report are addressed.
  • Develop and maintain the workplace safety instruction and yearly review

Occupational Safety-related

  • Assist the location manager with occupational safety related problems and in the implementation of solutions.

Facility Management

  • Plan and coordinate all installations eg telecommunications, electricity and refurbishments
  • Inspect building structure to determine the need for maintenance or repairs in compliance with safety and building regulations
  • Supervise multi-disciplinary teams of staff eg facilities staff, technicians, cleaners and external contractors
  • Oversees building projects, renovations or refurbishments
  • Manage the upkeep of compound, equipment and supplies to meet environmental, health and safety standards as well as government regulations
  • Ensure compliance with in-country legislation in terms of statutory maintenance, fire, health, safety and environmental Management
  • Ensure basic facilities meet hygiene standards such as water supplies and air-conditioning systems
  • Over-see building authority compliance, building/facility maintenance & repairs, hygiene/cleanliness including outdoor landscaping
  • Ensure prompt renewal of all maintenance contracts and renewal of all statutory licenses such as fire certificate, licenses and permits, lift, water tank cleaning, building and structural inspection, outdoor signage renewal, etc
  • Ensuring leases and other documentation are fully executed, with details properly recorded
  • Safekeeping and archiving of all legal contracts, documentations for the facility

· Maintaining a good and timely relationship and completion of matters, such as inspection, handing/taking over, defect management, etc, ·

  • Undertake induction and orientation at assigned portfolio to enable effective support and compliance to corporate processes and policies
  • Provide support to daily Operations on Building, Facilities and environmental related matters or issues, and attend to building-related feedback
  • Plan and drive green initiatives
  • Control activities eg parking space allocation, waste disposal, building security, etc
  • Allocate warehouse and office space according to needs
  • Ensure maintenance and services of work facilities meet the needs of the Logistics Centre and its employees
  • Responsible for handling all projects upgrading and fitting matters from tender document, scheduling and supervision to completion.
  • Ensuring prompt submission and proper documentation of all service orders, service reports, delivery orders and invoices
  • Travel to different sites of company premises for inspection
  • Record and report all faults, deficiencies, and other unusual occurrences
  • Assist in procurement of M&E equipment and support IPS in price negotiation
  • Review utilities consumption and strive to minimise costs
  • Advises energy efficiency and cost effectiveness
  • Compiling & Updating Property Condition Reports and FM reports
  • Report any unsafe situation to Management and get the contractors to stop work
  • Assist to develop and implement SOP as and when necessary

Qualifikationen

Education:

  • Degree / Diploma in Mechanical & Electrical (M&E) / Building / Real Estate Management
  • Excellent computer skills especially in MS Office - Word, PowerPoint and Excel

Experience:

  • Minimum 5 years' relevant facility management experience
  • Must possess good technical knowledge of M&E and building maintenance services
  • Extensive communication, negotiation and presentation skills
  • Able to manage team and handle conflict

Soft skills:

  • Strong organizational skills in order to perform and prioritize multiple tasks with good attention to details
  • Excellent communication skills & Interpersonal Skills
  • Good working performance individually and as a team
  • Strong command of English is required to communicate with regional countries in Asia Pacific and MB Global GSP colleagues

Specific Knowledge

  • Possess Fire Safety Manager certificate / fire safety knowledge preferred
  • Experience, knowledge and understanding of the Laws, regulations and guidelines of Free Zone Operations
