Job Summary
Responsible for supporting the smooth day-to-day operations of the division by providing efficient secretarial and administrative assistance. This role ensures effective coordination of schedules, communication, and documentation within the department.
Key Responsibilities
- Manage and maintain daily calendars, appointments, and meeting schedules for assigned leaders.
- Coordinate meeting logistics, including room bookings, materials preparation, and follow-ups.
- Screen and respond to phone calls and email inquiries professionally and promptly.
- Handle incoming correspondence and documents, ensuring timely distribution and follow-up.
- Maintain proper filing systems for documents, reports, and confidential records.
- Assist in preparing reports, presentations, and other documentation as required.
- Liaise with internal and external stakeholders to support departmental activities.
- Provide general administrative support to the team, including travel arrangements and expense claims.
Qualifications
- Diploma / Degree in Business Administration, Secretarial Studies, Office Management, or related field.
Experience
- Minimum of 2 years of experience in secretarial or administrative roles.
- Prior experience in a financial institution or corporate environment is an added advantage
Skills & Competencies
- Strong communication skills with the ability to interact confidently and professionally.
- Excellent organisational and time management abilities.
- Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
- Attention to detail and ability to handle confidential information with discretion.
- Effective multitasking and prioritisation skills in a fast-paced environment.
- Good interpersonal skills and a proactive approach to problem-solving.
