Executive, Strategic Vendor Management

Job Purpose
- Plan, manage and control including analysis contracts, procurement and materials management processes for UZMA in compliance with corporate policies, procedures and guidelines to ensure value for money of the right materials and services to internal customers.
- Implementing Vendor Management System, that acts as a single node to manage all vendor-related activities in an organization as an integration initiative while ensuring improved efficiency and long-term growth in a cost-effective manner towards to procurement efficiency
Job Responsibilities
1) Strategic Procurement
- Understand Company's objectives and Departmental objectives
- Determining supply needs and researching potential suppliers.
- Acting as a liaison and communicating pricing and performance needs to vendors and suppliers.
- Sourcing suppliers and testing product samples.
- Documenting the features and benefits of products and services.
- Preparing cost-benefit analysis reports for review by managers.
- Evaluation analysis prior to secure price agreement/MSA
- Negotiating favorable procurement contracts with selected vendors and suppliers.
- Documenting processes and generating monthly supply cost reports.
- Monitoring the company's demand for products to avoid supply shortages.
- Keeping abreast of vendor and supplier-related activities in the industry.
- Pro-actively source and search for new vendors and suppliers to create a diversified supplier base that can circumvent the disruption of supplies and services and constantly obtain products that are value for money along with contributing the maximum cost saving for Uzma.
2) Vendor Management
- Develop, create and maintain new / existing vendor database to ensure proper registration and monitoring of vendor so as to meet the group procurement strategies and objectives.
- Compilation of data / reports for preparation of analysis on the vendor's performance prior to their registration as UZMA's vendors to ensure only good vendors are selected to serve UZMA.
- Monitor vendors performance yearly and ad-hoc basis to ensure their services and products comply with the standards specified by UZMA.
- Continuously evaluate and compare pricing competitiveness to ensure "value for money" for purchases made i.e. right products, right price and just-in –time delivery.
- Develop, maintain and update vendors' database for product listing and vendors' profiling for quick references and planning purposes.
- Analyse, identify and recommend suitable vendors as preferred vendors, chosen for their cost competitiveness, reliability and after sales service to ensure user obtain their product as per required specifications and timely delivery.
- Manage vendors to ensure their conformance to company requirements on pricing, specifications and timely delivery as per agreements.
- Develop "partnership" relationship with vendors in meeting mutual goals and objectives
3) Other Responsibilities
- Follow all related procedures and comply to both internal IMS, APIQ2, ISO9001 requirements.
- Follow all related requirements (legal, customer, IMS and ISO9001/OHSAS18001).
- Complete departmental tasks and any ad-hoc responsibilities assigned by the management and/or company.
- Preparation of new memorandums to vendors and internal staff related to the procurement and supply chain matters to ensure the compliance of UZMA's written standards are consistently adhered.
- Assist in preparing the required amendments on the current departmental procedures relating to the analysis on the vendor's performance prior to their registration as UZMA's vendors to ensure only good vendors are selected to serve UZMA
Job Requirements
- Minimum Degree in Business, Finance, Science, Engineering or related field.
- Preferably 3 years of experience in procurement, vendor management, or procurement analysis.
- Experience in strategic sourcing, contract negotiation, or supply chain analysis is an advantage.
- Strong analytical skills with ability to interpret data and prepare reports.
- Proficiency in electronic procurement tools and analytical software.
- Excellent negotiation and vendor management skills.
- Ability to develop and maintain vendor relationships to ensure compliance with company requirements.
- Good communication and interpersonal skills, capable of liaising with internal teams and external suppliers.
- Knowledge of supply chain processes, contract management, and procurement policies.
