Regulatory Documentation Executive

Key Responsibilities1. Regulatory Documentation & Compliance
- Maintain and update all product regulatory documentation in accordance with Malaysian standards and industry requirements.
- Prepare, organize, and track certification files, renewal documents, and regulatory records.
- Support the preparation of compliance submissions to authorities, certification bodies, and auditing organizations.
- Ensure timely filing and safekeeping of all regulatory approvals, certificates, and documentation.
2. Certification & Standards Support
- Assist in coordinating product certification applications, renewals, and related documentation.
- Communicate with suppliers to collect specifications, COAs, declarations, ingredient lists, product certificates, and supporting documents.
- Monitor document expiry dates and follow up to ensure timely renewal or updates.
3. Internal Coordination
- Liaise with QA, R&D, Production, and Procurement to gather accurate product information.
- Assist in preparing documentation packs for audits (internal or external).
- Support internal teams by providing updated regulatory formats, requirements, and checklists.
4. Data Management & Record Control
- Maintain an organized digital and physical filing system for quick retrieval of records.
- Ensure version control and SOP compliance across all regulatory documents.
- Generate routine reports on pending renewals, documentation status, and compliance observations.
5. Process Improvement
- Assist in improving documentation workflows to enhance accuracy and efficiency.
- Support implementation of new regulatory or documentation requirements based on updated guidelines.
6. Administrative Support
- Manage communication with external agencies, suppliers, and certification bodies regarding documentation matters.
- Provide administrative support for compliance-related meetings, audits, and projects.
Job RequirementsEducation & Experience
- Diploma or Degree in Food Science, Business Administration, Quality Management, or related fields.
- 1–2 years of experience in documentation, regulatory compliance, QA/standards, or admin roles (preferably in FMCG).
- Fresh graduates are encouraged to apply (training will be provided).
Skills & Knowledge
- Basic understanding of food regulations, standards, or certification processes in Malaysia (training can be provided).
- Good knowledge of documentation processes, record control, and administrative workflows.
- Proficient in Microsoft Office (Word, Excel, PowerPoint).
- Ability to manage multiple files and deadlines simultaneously.

Job Types: Full-time, Permanent
Pay: RM1, RM2,300.00 per month
