JOB DESCRIPTION

  • Prepare, update, and maintain all production-related documents (work orders, job sheets, daily production reports, logbooks, checklists, etc.).
  • Ensure accuracy of data entry in production systems/software.
  • File and organize documents for easy retrieval and audit purposes.
  • Record production output, downtime, rejects, and materials used.
  • Assist in preparing daily/weekly/monthly production schedules.
  • Distribute job orders to production teams and ensure instructions are clear.
  • Coordinate with warehouse for material issuance and returns.
  • Inform relevant parties if shortages or delays occur.
  • Monitor raw material, WIP (work in progress), and finished goods movement.
  • Update material usage reports and ensure accuracy of records.
  • Assist in stock checks and reconciliation with the warehouse.
  • Ensure proper documentation for material transfers and usage.
  • Liaise with Production Supervisor/Manager on work progress.
  • Notify departments on urgent job orders or schedule changes.
  • Assist in handling customer or internal requirements related to production documents.
  • Prepare daily, weekly, and monthly production reports.
  • Ensure reports are submitted on time and reflect accurate data.
  • Highlight discrepancies, shortages, or issues detected in reports.
  • Assist in preparing SOPs, forms, and templates used in production.
  • Support other administrative tasks assigned by the management or supervisor.
  • Maintain proper housekeeping and organization of the production office area.

MINIMUM REQUIREMENT

  • SPM / Diploma in Business, Administration, Manufacturing, or related field.
  • At least 1–2 years working experience in administrative or production support roles.
  • Basic knowledge of production workflow and manufacturing processes (preferred).
  • Proficient in Microsoft Excel, Word, and data entry.
  • Familiar with ERP/MRP systems (added advantage).
  • Ability to organize files, documents, and schedules.
  • Strong attention to detail and accuracy.
  • Good communication and coordination skills.
  • Able to work under pressure and meet deadlines.
  • Reliable, disciplined, and able to maintain confidentiality.

Job Type: Permanent

Pay: RM2, RM2,300.00 per month
