Description

Primary Duties & Responsibilities

  • Forecasting weekly payables schedule as well as projected outgoing funds and communicating these with the treasurer and other finance members 
  • Process payment runs, ensuring timely and accurate disbursement of funds
  • Assist the Global Shared Services AP vouchering team to resolve issues and answer questions.
  • Support the reconciliation of payment batches and resolve any discrepancies
  • Assist in managing Coherent's global card program (US and Europe) including issuing cards, monitoring usage, adjusting limits, and monitoring any delinquent payments. Ensure any new cards or changes to cards have appropriate approval beforehand.
  • Work with Global Shared Services leadership to develop and track Key Performance Indicator metrics for the Accounts Payable process.
  • Monitor outstanding checks and work to resolve any issues in a timely manner
  • Monitor shared outlook inboxes relating to AP as well as mail and reaching out to vendors to go paperless if they have not done so already
  • Review any changes in bank information and verify these changes with the vendor to avoid any risk of fraud. These changes will all be submitted and documented in the workflow. 
  • Provide backup and assist with uploads such as freight, commissions, legal payments, and Concur related files
  • Other general AP support such as assisting with month-end close activities, working closely with any internal or external auditors on requests, and ensuring overall smooth payment runs.
  • Assist in one-off AP requests and projects that may arise from either the US or Germany

Education & Experience

  • Bachelor's degree in business administration, finance, I.T. or a related field preferred
  • 3+ years of experience in Accounts Payable Shared Services supporting international locations
  • Ability to work under minimum supervision & meet deadlines
  • Experience with corporate card programs is a plus
  • General accounting knowledge and the ability to make journal entries

  • This candidate must be comfortable working across multiple different time zones and have strong communication skills.
