Job Description:

Roles & Key Functions

Centralize Freighting

  • Act as a specialist/ intermediaries/negotiators with Carriers/Forwarders to arrange for all Sime Darby Oils subsidiaries.

  • To assist the Management in formulating immediate, medium & long-term strategy relating to containerized shipments to overseas customers;

  • To evaluate the available logistics options and propose the most economic & efficient logistics model to achieve the desired policy & strategy for Packed Products shipment;

  • To execute & implement the agreed strategic action plans for containerized shipments be it for immediate(spot)/medium/long term requirements in accordance with the agreed tender process, policy & procedures;

  • Negotiate for the most competitive rates and s ource optimal shipping solution so as to maximize potential earnings to fulfill the containerized shipments requirement to destination markets.

  • Monitor market trends and latest development in the current container industry and assess viability of possible business opportunities and provide recommendations to management for further course of action.

  • Obtain freight market indications in order to i ncrease revenue and create cost awareness in accordance with the commercial strategy by improving/ achieving lower freight rate against the current market as well as reducing potenti al demurrage / risks / claims or detention.

  • Follow up with Carriers/freight forwarders with regards to inventory of shipments, damaged containers / flexi bags / jerry cans / claims / disputes.

  • Reconciling freight payment invoices for SDOTL shipments only, authorizing payments and ensure that the imbursement made are in accordance with the agreed freight/terms.

  • Working closely with SDO Trade Execution Team and related Business Units to ensure that all trades requirements (LC terms / Buyer requirements / cargo readiness / booking confirmation) are in accordance with the contracts and guaranteed on Carrier’s compliance.

  • Monitor the computation for freight, demurrage/detention claims and counter on demurrage disputes (if any). Also pursuing all claims for loss, damage / over-charges.

  • Monitor vessels movements for SDOTL / request for relevant booking confirmations and keep track on movement of shipment and provide updates on shipment status regularly or as and when needed.

  • Updating the Container Movement Datasheet, Monthly Freight List, Containerized Market Outlook, providing reports as and when needed.

Contract Management - Logistics Expenses

  • Specifically, the Logistics Expenses will monitor the contract/tender validity period and the vendors’ performance (in accordance to the GPPA prerequisites) as well as the vendor’s development.

  • To ensure that proper monitoring and control is in place for all the logistics ’s strategic services (Warehousing, Bulking, Surveyors, Haulage, Flexi-bags, Biodiesel Road-Tanker and Forwarding Agent).

  • To ensure that the appointed vendors operate their service with integrity, trustworthy, focused and transparent in order to deliver the results tailored to SDO’s requirements.

  • Keep track on the vendors’ performance by monitoring their contracted services and their agreed-upon expected reliability, are in accordance to SDO’s criteria.

  • To ensure that the contract management’s responsibilities and expectations to the vendors are met, so that, in the event of issues with the service, neither party can plead ignorance. It ensures both sides have the same understanding of the requirements.

  • To monitor that the Contract Validity Period, is in accordance to the agreed cycle and it will be binding on the vendor for the faithful execution of contract as per the contractual terms.

Disputes & Claims (Legal)

  • Review and examine all claims received from Liners / Forwarders and prepare relevant counter claims based on the prevailing practice and technical terms which underlie the marine claims. (for freighting only)

  • Present practical approach in handling such claims with relevant examples and highlighting appropriate responses and procedures.

  • Resolve common and complex deliveries, disputes and claims with Ship Owners/Liners

  • Handle legal matters and all types of claims with in-house legal department as well as liaising with external Law Firms and P & I Associations world-wide.

Projects

  • Assist in department projects or additional duties as and when required.

General / Others

  • Manage and ensure targets and objectives, recruitment, appraisals, feedback, training and development and reward allocation are all administered in keeping with company culture and guidelines.

  • Responsible in reporting and maintaining databases and records of all shipping matters

  • Any other ad-hoc duties as assigned.

Knowledge and Skills required:

  • Degree in any maritime discipline or professional qualifications in shipping, transportation or any logistics and supply-chain discipline.

  • Minimum between 5-7 years’ experience in Container Freighting/Freight forwarders/shipment planning/ operation activities and other logistics discipline.

  • Prior experience of working in logistics/supply chain/transportation function within the maritime industry with a comprehensive knowledge of logistics processes and procedures

  • Expert knowledge of technical regulations related to logistics such as import/export and customs regulations, including security requirements to include certification in dangerous goods handling and aviation security

  • Ability to analyze and manipulate technical and complex data and provide meaningful information

  • Membership of an appropriate professional body such as the Chartered Institute of Logistics and Transport would be advantageous
