Document Controller Officer

A professional who is responsible for maintaining organized and updated documents for a business using document management software to upload or scan paper documents, obtaining and retrieving documents for authorized personnel and ensuring document in proper and secure storage to comply with laws and regulations.
- Establishing and implementing document control procedures and standards to ensure efficient document management.
- Collecting, organizing, filing and converting into digital format, various types of documents such as drawings, reports, contracts, correspondence, certificates, proposals, tenders, manuals and other project-related documents.
- Coordinating with internal stakeholders such as project managers, engineers, and quality assurance personnel to ensure that documents are accurate, complete, and approved before being released.
- Managing, organizing, archiving and disposing of documents, both in physical and digital form, in a systematic and secure manner.
- Ensuring that all documents are properly organized and archived in a centralized database or cloud by creating and managing databases, spreadsheets, or other types of software programs to store and track documents.
- Controlling the issuance, distribution, and retrieval of documents to ensure that documents are up to date, easily retrievable and accessible when required.
- Managing document security, including access controls, password protection, and encryption, to ensure the confidentiality and integrity of sensitive documents.
- Facilitating the distribution of documents to relevant parties in a timely and efficient manner.
- Maintaining the confidentiality of sensitive documents, such as contracts, legal agreements, tenders and intellectual property.
- Ensuring that all documents are properly versioned and that the correct version is used at all times.
- Ensuring that the right people have access to the right documents at the right time. This includes distributing documents to project team members, clients, and other stakeholders as required.
- Classifying and indexing documents in a systematic and easy-to-use manner by using appropriate software or filing systems.
- Bachelor's degree in Information Technology or Engineering or related field / equivalent.
- Minimum of two (2) years of working experience as a Document Controller or similar role.
- Analytical skills

- Communication skills
- Technical knowhow in Planning, Scheduling and Reporting.
- Good understanding and knowledge in Document Controller as per requirement.
- Familiarity with project management
- Knowledge of Electronic Document Management Systems (EDMS)
- Knowledge in project scheduling software i.e., Primavera and Microsoft Project will be advantageous.
- Willing to work at Pulau Indah, Port Klang
- Own a valid driving license and a car; willing to travel extensively within the assigned area (as when and required).
