Summary
Handling of examination processes and conduct for UNIRAZAK main campus and regional centres including managing and implementing the relevant SOPs, preparation of reports to the Management and Senate, generation and publication of students results, graduation and verification of students' status.
ACCOUNTABILITIES
1. Examination Administration
a) Managing examination processes and conduct for UNIRAZAK;
i. Main Campus (MC)
ii. Regional Centres (RC)
b) Prepare and distribute examination timeline & deadlines at the beginning of a semester;
c) Prepare examination schedules & coordinate the appointment of invigilators;
d) Monitor and coordinate timely submission of duly moderated and approved examination question papers by faculty members;
e) Ensure accuracy, security and timely printing and distribution of question papers;
f) Ensure the accuracy, security, and timely conduct of final examination;
g) Manage the release of Course Confirmation slip for students;
h) Manage and coordinate the collection of answer scripts by course lecturers;
i) Organise special and supplementary examinations upon successful requests by students;
j) Oversee the rechecking of marks requests, if any;
k) Monitor and process course marks submitted by lecturers via relevant portal, and prepare reports for Board of Examiners and Senate meetings;
l) Liaise with ICT, Student Experience, Knowledge Management Centre (KMC), Schools and other necessary Units for smooth conduct of examinations.
2. Online Examination
a) Coordinate with ICT Student Experience, Knowledge Management Centre (KMC) and Schools/Centres for readiness of UNIRAZAK's UROX and Respondus system (for access & attempt by students);
b) Assign invigilator(s) for the online examinations;
c) Create credentials for students to access the examination as per schedule;
d) Monitor the commencement and running of the examination for all registered students irrespective of their physical locations and provide support where necessary.
3. Results Administration
a) Ensure availability, accessibility, accuracy, security and integrity of students' academic assessment data and results;
b) Coordinate Board of Examiners meeting at faculty and university level;
c) Prepare Senate reports for results approval and endorsement;
d) Coordinate release of Senate-approved results prior to commencement of a new semester;
e) Ensure all pending results are resolved within a reasonable period;
f) Ensure requests for results changes are processed according to university policies, procedures, rules, and regulations;
g) Provide results information to internal and external parties such as sponsors, in a timely manner;
h) Ensure accuracy, security and timely printing of transcripts and scrolls.
4. Graduation and Convocation
Ensure all tasks pertaining to graduate affairs including preparation of transcripts and scrolls are well executed, in a timely manner.
SUPPORTING DUTIES
a) Participate in students' registration and orientation activities;
b) Participate as sub-committee member in university events such as the convocation ceremony;
c) Attend to complaints and enquiries escalated through Assistance Ticketing System (ATS)
d) Handle enquiries pertaining to final examination and other administrative tasks related to examinations received from students and RC officers/staff;
e) Provide all reports as required by the Management.
OTHER DUTIES
To carry out such other duties that may be assigned to you from time to time by the Registrar/ Head of Department or persons acting on behalf of UNIRAZAK.
