Job description

1.0
Responsibility and Authority
1.1 Understand and able to execute all Front Office standard operating procedures.

1.2 Ensure that the pre check-in procedure is effectively carried out based on the set standard

That includes:
i. Rooms for leisure groups are blocked 2 days in advance.

ii. Check guest's arrival list one day in advance.

iii. Details of each reservation are printed on R-card.

iv. Check on day room's assignment and ensure keys and other required

documents are prepared

v. Room's amenities and guest supplies are in order.

vi. VIP rooms are checked.

vii. Rooms for corporate groups are blocked at least 2 days in advance.

1.3 Meet VIPs and other FITs and corporate guests at the main entrance and lobby.

1.4 Escort VIP guests to their rooms and bid farewell upon departure.


1.5 Attend to guests' enquiries, problems and complaints promptly, efficiently and courteously to the satisfaction of guests and interest of the Hotel.


1.6 Obtain feedback from guests and take actions accordingly or refer to the Front Office Manager for a decision when necessary.

1.7 Promote in-house facilities

1.8 Check-in tour groups and co-ordinate on their requirement.

1.9 Control the daily sale of rooms to maximize Hotel's room revenue.

1.10 Survey daily occupancy statistics of other hotels.

1.11 Check and ensure that the Front Office and public areas are clean and in-order

1.12 Check and ensure all operating equipment are in good working order.

1.13 Liaise closely with the Guest Service Manager and Reception Manager on operational matters.

1.14 Co-ordinate with Housekeeping, Security and other departments for a smooth operation.

1.15 Ensure sufficient manpower on his/her shift and the following shift for operation

1.16 Supervise staff under his/her charge.

1.17 Provide on-the-job coaching and training.

1.18 Ensure information are properly communicated to subordinates and peers through briefing and other means.

1.19 Issue guest keys based on the Hotel's keycard procedure.

1.20 Ensure the night closing procedure is carried out.

1.21 Supervise and execute the required emergency produces in the events of fire, power failure and other emergency situations.

22 Perform maintenance work on the main computer systems which includes:

i. Print and submit reports.

ii. Determine close-day.

iii. Maintain guest history.

iv. Purge and reorganize selected files.

1.23 Check all R-cards of check-in guests during his / her shift before filing them into the folio well. He/ She shall pay special attention on wake-up call recorded, vouchers attached, billing instructions and special guest's requests.

1.24 Perform in-house credit check when assigned.


1.25 In the absence of the Reception Manager, ensure month-end City Ledger transfer and the billings for Long Stay Guests on personal account are done within first 3 days of the following month.


1.26 Make daily rounds of the Hotel and outside the building and check all public area and staff area regularly.

1.27 Make daily rounds through all operating departments to increase visibility to guests and employees. He / She shall pay special attention in the main lobby area.

1.28 Authorities given:
i. Recommend actions for appraising or reprimanding subordinates.

ii. Approve room change and rate changes.

iii. Liaise with Front Office Manager on pending bills.

iv. Approve mini bar allowance.

v. Hold master keys.

vi. Seek approval from FOM pertaining to discount on room charges.

Job Specifications
2.1 Knowledge and Skills

Good knowledge and skills for the operations of various sections in the Front Office. Familiar in emergency procedures and first aid.

2.2 Education, Training Qualifications

G.C.E 'A' level, Certificate in Accommodation Management.

2.3 Experience

Minimum 3 year of experience in a similar capacity.

2.4 Personality

Pleasant character.

2.5 Physical Requirements

Fit and healthy.

2.6 Age

Minimum 25 years of age.

2.7 Languages

Fluent in English and preferably speak Mandarin and some local dialects.

RM3, RM3,500.00 per month
