CPS Reconciliations is a centralized function accountable for producing reconciliations for Custody and Fund Services.

The main function of the Reconciliations teams is to ensure that data held on the Group's systems agree with various third parties and between internal systems at a transaction and/or position level.

This is done across various platforms/systems. The team will then allocate and escalate exceptions to the business areas responsible for resolving the discrepancies.

The main tasks undertaken are:

  • Identification and allocation of breaks to multiple business lines
  • Having identified a break, the teams will inform the appropriate area of the need for action. As such, they interface with a number of other departments and business areas.
  • Timely escalation of breaks and follow ups.
  • Preparation and issuance of Management Information (MI) detailing exception details.
  • Continuously drive change within the process.

The Opportunity:

  • Responsible for the day to day management of the Reconciliations processes, providing full support to the CPS Management team and business areas.
  • Functional responsibility and leadership for Manager, AMOs and Associates based in the Service Centers in Malaysia/Manila.
  • To develop the management and leadership capabilities within the Service Centre KL/Manila, focusing on succession planning to ensure we meet current and future operational requirements. Active involvement in Centre wide activities (calibration, operations strategy, visitor management, and general escalation)
  • Work closely with Business Partners/Stakeholders to ensure the effective and timely delivery of all enhancements the tactical improvements needed for existing processes.
  • Lead the Risk & Control Agenda for the teams and continually drive this as part of day to day operations.
  • Support where applicable, both tactical and strategic agenda for the CPS managed activities, ensuring the effective management of inbound migrations/derisking from various jurisdictions.

What you'll do:

_Impact on the Business_

  • Limited Audit Points and Findings. On time resolution of Loss, SOX and Audit Point actions. Issues and Events captured near to issue date. Accurate and timely tracking and reporting of issues.
  • Accurate and timely execution of tasks e.g. accurate minutes from meetings. Numbers of issues being reported to management as risk outside of the recognized escalation channels.
  • Run the Day to Day BAU for HSS/HBAP Reconciliations.
  • On time delivery of change tasks. Good governance and communication of change tasks and delivery date expectations within the control team and across the wider operations.
  • To implement strategic agenda as set out by CPS Management.
  • To demonstrate effective management oversight, over the implementation of process & control initiatives.
  • Ensure Department complies with and completes Mandatory HSBC Risk Tasks on time — e.g. Internal Audits, External Audits, Risk Self Assessments, SOX reviews, Month End Signoffs

  • Quarterly Feedback on Function, Mid-Year and Year End Feedback.
  • Attendance and participation in Risk & Control, Audit, Compliance Meetings.
  • Attendance and participation in Change Meetings.
  • Attendance and participation in Weekly/Monthly Business Calls
  • Drive team to provide excellent customer service both to internal and external stakeholders

_Leadership and Teamwork_

  • Leadership — Appropriate level of direction and management of multiple tasks to ensure that both line and change tasks and completed on time. Drive resolution of high risk issues across stakeholders — building focus and maintaining momentum to close issues out. Actively promoting high morale with control team and across operations. Ability to delegate tasks to direct effectively and manage their development.
  • Teamwork — Ensure effective as a team member as well as a team leader — when delegated tasks provide succinct updates and deliver on schedule. Help to ensure that the team produces consistently high results and that the team is cross trained and able to complete all tasks when team members are out of the office
  • To communicate concisely and effectively to staff, demonstrating personal vision and strategy.
  • Conduct at least quarterly Exchange Sessions
  • Drive an excellent team engagement score.

_Operational Effectiveness I Risk & Control_

  • Numbers of issues being reported to management as risk outside of the recognized escalation channels.
  • Accurate and timely updates on risk issue
  • To define appropriate solutions or change initiatives and in so doing drive through efficiency improvements.
  • Drive the Reduction of Risk events and ensure all preventive act
