Our client is an International Shopping Mall based in KL City area.

Responsibilities

  • Ensure smooth operations of
    overall office management:
  • Answering telephone calls & directing calls to the relevant persons.
  • Manage incoming / outgoing mail i.e. courier services.
  • Order, track & stock office supplies including stationery and food inventory. Act as main point of contact for all vendor
  • Handle the acquisition, distribution, and storage of
    office equipment & supplies:
  • Oversee the preparation, analysis, negotiation &
    review of vendors' contracts related to the purchase or sale of office equipment, materials, supplies, products/services
  • Oversee records management, communications system management, security, recycling & transportation services
  • Coordinating office policies & procedures /
    SOP.
  • Oversee overall
    office maintenance including planning for long and shortterm maintenance needs as well as periodic preventive maintenance
  • Preparing and processing monthly invoices & billing
  • Monitor and facilitate security measures for
    IT related matters:
  • Manage meeting rooms including reservation schedules
  • Facilitate new employee onboarding especially in matters relating to IT
  • Organizing
    travel arrangements for employees both within and outside the country.
  • Handling documents management and entertainment expenses related matters
  • Oversee
    office renovation projects & responsible for planning workspaces

Requirements:

  • Degree / Diploma holder.

3 years' experience in handling
corporate administrative matters / office management.

  • Experience in
    office compliance, vendor & IT management is a plus point.
-
Fresh Graduates are encouraged to apply.

  • Resourceful & able to work independently.
