Secretary cum Admin Executive

  • Job Description_
  • Perform daily secretarial duties, handle confidential matters, and provide administrative support in daytoday operations.
  • Assist in preparing delivery documents for the Directors and other authorized personnel.
  • Prepare and compile confidential correspondence, minutes of meetings, and business reports.
  • Attend meetings with the Directors, take notes, and follow up on issues.
  • Manage the Directors' schedules and appointments.
  • Follow up and coordinate activities of various departments and update the Directors regularly.
  • Responsible for answering calls, handling company inquiries, taking messages, and redirecting calls to appropriate offices
  • To prepare, monitor and execute contract service agreement for stamping, review of contract service terms & conditions and/or renewal
  • Updating data on company vehicles for Puspakom inspection
  • To prepare/follow up documentation such as letters, quotations, invoices, credit notes, etc.
  • Orders and maintains stationery and general supplies as required
  • Conducts data entry including commercial administrative assistance related to customer cases, complaints, contracts and activities.
  • Assist in internal events/projects as required and associated with performing duties assigned.
  • Assist in the preparation and compilation of presentation slides and business proposals.
  • Preserve strict confidentiality and interact professionally with all levels of management, staff and clients.
  • Perform other duties as assigned by the Directors and authorized personnel.
  • Requirements_
  • Diploma/Bachelor's degree in Business Administration, Office Management, or a related field is preferred.
  • Minimum of 23 years of experience in a similar role is preferred.
  • Proven experience in handling a wide range of administrative and executive support tasks.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Canva).
  • Excellent communication skills in both written and verbal, good presentation skills and stakeholder management.
