Primary Objective:

  • Supporting proposition squads on operational matters, including finance, legal & documentation, compliance
  • Provide good business support to manage risk & compliance, ISO and business development
  • Liaising with internal and external stakeholders to ensure seamless business performance
  • Execute required operational task and provide operational expertise to teams
  • Ensure prudent, effective and efficient operational support in trustees to support the business growth in the relevant entities.
  • Ensure prudent and efficient corporate governance and risk management in trustees operations.

Key Responsibilities:

  • Manage the Wills Operations team(s) to ensure delivery of prudent, prompt, efficient, effective and customerfriendly business support services to the business units
  • Ensure timely and accurate delivery of services to the client(s)
  • Draft wills as per the template
  • Amendment and finalization for wills
  • Safekeeping and retrieval of final wills
  • Manage inquiries by agent/testator
  • Review legal document for RHBT
  • Process instruction from client, verify documents and review transactions
  • Attend to all important internal and external meetings i.e. preliminary meeting, client meeting and etc
  • Execute operational task that require functional expertise or skills
  • Produce necessary report required by the Management
  • Provide feedback on key issues faced by both customers and teams
  • Ensure the safe custody of Wills and perform annual reconciliation for all Wills under our custody
  • Assist in resource management; effective planning to ensure sufficient operational coverage including Drafter / Vettor.
  • Provide coaching / training to new staff to the team and ensure readiness with sufficient handson to the processing.
  • Facilitate audit by internal and external auditors.
  • Update any changes to the policies, guidelines, work processes, forms, documents etc to strengthen the monitoring and controls, smoothen the operational flows or improve the business support services and alignment to the relevant Group policies and guidelines.
  • Initiate, review and improve on process automation and system enhancement with clearly and properly documented user requirements and system specifications, comprehensive and properly documented and signed off User Acceptance Tests (UAT).
  • Liaise and maintain good relationship with all stakeholders in supporting the business units including but not limited to clients/ business partners, regulators, solicitors, financial institutions, and other related parties.
  • Closely engage with superiors and promptly report and update on any irregularities, complaints, compliments, improvement actions/ projects initiated and completed etc, and submit timely periodical and/or adhoc reports and/or assignments required.
  • Perform the Authorized signatory role for Trustees Operations
  • Provide coverage in the absence of peer(s) within Trustees Operations as and when necessary.
  • Any other tasks assigned by the Management from time to time.
