To coordinate all administrative and clerical duties for Managing Director & General Manager in optimising business operations.

  • To coordinate administration/accounts function of the District Offices in line with the requirement of the Project Management Department in Head Office.
  • To coordinate and monitor overall filing system for the District Offices in accordance with Company/Project Filling Index.
  • To coordinate and ensure administrative and clerical support to the project site office operations as and when required.
  • To monitor and ensure area office/project staff's compliance with company's administrative procedures & policies.
  • To implement all policies, activities, procedures, instructions as relevant and required by the Kajima Total Management Systems.
  • To arrange travel itineraries, i.e., flight bookings & accommodation
  • To coordinate and make arrangements for visiting Japanese guests at ad hoc basis.
  • To manage an active calendar of appointments for Managing Director and General Manager.
  • To manage the monthly update of Project Management Event Planner
  • To handle the bookings for meetings rooms.
  • To maintain best business practices, etiquette and presentation
  • To undertake any other duties and responsibilities as instructed by the superior.

Requirements:

  • Diploma / Degree in Secretarial or Business Administration
  • A minimum of 5 years experience in similar capacity preferred construction industry
  • Experience in maintaining and prioritising Director's calendar
  • Able to communicate well in Mandarin & English
