Proven experience as PA or Secretary or similar administrative role.

  • At least 3 years working experienced.
  • Minimum Diploma in Secretarial Science/Executive Secretary or similar field.
  • Excellent organizational and time management skills.
  • In depth knowledge of office management and basic accounting procedures as well as technical vocabulary of relevant industry.
  • High integrity and confidentiality.
  • Outstanding communication and negotiation skills.
  • To provide secretarial support to the Executive Directors
:

  • Arrange monthly meetings and taking minutes of meeting called to order by ED.
  • Followup on outstanding matters including issue reminder on matters brought up in meeting or as and when required.
  • Monitor and ensure proper filing for all documents, files and other important certificates under your charge.
  • Monitor various budgets under your focus and alert Directors on budget variances.
  • Ensures that all matters requiring followups are initiated by the individuals. Alert Directors on noncompliance.
  • Coordinate meetings.
  • Screen, check and sort folders before forwarding to ED for signature / approval / information.
  • Performs all other scope of works and / or responsibilities which can vary, from timetotime, as instructed by the ED.
  • Handle confidential documents ensuring they remain secured.
  • Assisting travel arrangements for executives.
  • Receive and screen phone calls and redirect the phone calls appropriately.
  • Performs all other duties other than the above when requested by the ED.

Salary:

RM2, RM3,000.00 per month
