ROLE SUMMARY:


This role provides support to the management and teaching team at SOLS Smart, an impact company and part of the SOLS 247 organization.

Our programs are designed to support the participants as they move from education into the workforce and subsequently advance their careers.

As an Operations Executive, you are the enabler of program delivery and implementation. You collaborate with all relevant parties to secure, manage, and distribute resources to empower our ambitions. You get to engage with the entire organization, external stakeholders, and program participants alike.

KEY RESPONSIBILITIES:

In this role, you will:

Coordinate with external stakeholders:

  • Collate and create databases of potential clients and partners across corporate, government, and educational institutions.
  • Collate and create databases of potential venues for free training.
  • Perform introductions and negotiations to agree mutually beneficial agreements with venues.
  • Coordinate with clients regarding logistics for training events including distribution of materials and goody bags.
  • Project management of certain key and complex programs

Coordinate with internal stakeholders:

  • Manage the logistics of training events.
  • Maintain inventories of equipment (projectors, whiteboards, flipcharts, markers, etc) either electronics) and other items, and distribute such items upon request;
  • Coordinate with programme teams for necessary resources for programme delivery;
  • Maintain data in HRDCorp Etris system.
  • Track HRDCorp grant claims, invoicing and payments.
  • Track client claims, invoicing and payments.
  • Manage the marketing results dashboard.
  • Issue ecertificates or printed certificates for educational programmes;
  • Create SOPs and operational standards to improve processes.

In this role you will be expected to:


  • Demonstrate passion, motivation, and care in serving the B40. Our mission is to enable the B40 to achieve middle-class outcomes, so that they come and stay out of poverty, and you play an important role in achieving that. You need to act with a strong sensitivity towards the reality and needs of the communities we serve.

Collaborate with all departments and project teams. It's important that you're comfortable to engage, reach out, and communicate with everyone.

Adapt to the needs of the community and various programmes we work with. The lives and needs of our participants are complex and changing. To be able to support them, we have to keep up, and constantly adjust and improve our services.

Be in the community. You need to know who you serve, so you have to meet them where they are. You will need to travel independently or with the team to Orang Asli, rural, urban communities, and partner locations, and engage with participants in-house.

Be enthusiastic and driven to learn and self learn. We serve the B40 mainly through education, so it is essential that we are learners, seekers, and open to make mistakes and grow from them.

Share your knowledge and guide others. We are all happier and grow faster in a place where we respect and help each other.

Be on standby for emergencies. The Operations function looks into our space and facilities, and, if anything malfunctions and requires urgent attention, you may be needed to attend to it.

QUALIFICATIONS:

To be shortlisted for this position, you will need to have:

  • A bachelor's degree in a relevant field (Business Administration, Operations management, etc.);
  • Administration, operations, or related work experience, however exceptional fresh graduates would still be considered
  • Ability to coordinate with suppliers and service providers;
  • Minimum B1 proficiency (Band 4 MUET) in English and Bahasa Malaysia, written and spoken;
  • Working knowledge of Google workspace and digital skills for work;
  • Ability to understand and work with research and data;
  • Ability to plan budgets and track expenses;
  • Strong organizational skills;
  • Excellent interpersonal and communication skills;
  • Eye for detail and a focus on improvements.
