Executive Personal Assistant to The Director

Task Execution:
Efficiently manage and execute a variety of tasks delegated by the Director, ensuring they are completed accurately and on time
Meeting Representation:
Attend meetings on behalf of the Director, taking detailed notes, and ensuring follow-up on key action items
Communication:
Keep in touch with team members and partners, ensuring everyone stays informed
Schedule Coordination:
Manage the Director's calendar, including appointments and travel plans, which may involve international travel
Stakeholder Engagement:
Proactively follow up with internal and external stakeholders to ensure progress on tasks and projects
Schedule Management:
Maintain and organize the Director's calendar, including scheduling appointments, meetings, and travel arrangements
Bilingual
Communication:
Serve as the primary liaison between the Director and various business units, ensuring clear and professional communication in both English and Mandarin
Project Coordination:
Assist in coordinating and managing projects to ensure timely and successful completion
Administrative Support:
Provide high-level administrative support, including drafting correspondence, preparing reports, and managing documentation in both languages
General Administrative support:
Handle incoming and outgoing communications, including emails, phone calls, and mail.
Prepare and edit documents, presentations, and spreadsheets.
Organize and maintain files, records, and databases.
Plan and coordinate meetings, and events.
Conduct research and compile data for reports and presentations.
Provide personal assistance to the Director, such as managing personal appointments and errands as needed.
The Executive Personal Assistant will be a key asset to the Director, providing comprehensive support and ensuring efficient management of daily tasks.
This role demands exceptional organizational skills, bilingual proficiency in English and Mandarin, and the ability to act on the Director's behalf, ensuring all business activities are completed as scheduled and to the highest standards.
Experience:
A minimum of 5 years experience as an Executive Assistant or in a similar role supporting senior executives
Education:
Bachelor's degree in Business Administration, Management, or a related field preferred
Language Proficiency:
Professional proficiency in speaking, writing, and reading both English and Mandarin
Skills:
Exceptional organizational and time management abilities.
Strong communication and interpersonal skills.
Proficiency in MS Office Suite and other relevant software.
Ability to handle confidential information with the utmost discretion.
Strong problem-solving skills and the ability to work independently.
Demonstrated ability to multitask and prioritize in a fast-paced environment.
