Logistics Coordinator

**Main Purpose:**:**Acts as a focal point and coordinate with client’s (representatives) and internal contact and third parties for all activities related to operational activities for deliveries, re-deliveries, product transfer and internal cargo movements in ensuring proper logistics execution. Plan and monitor the clients required services based on organization commitments and local (port and local government) requirements. Control the cargo movements’ activities documentation and reporting.**
**Provides all back office and logistic support to the business by becoming focal point of communication and dissemination information to all internal contacts and third parties, shipment management activities. Ensures processes are executed following appropriate control standard and complying with all company policies.**:**Knowledge Skills and Abilities, Key Responsibilities**:
**KEY RESPONSIBILITIES**
**Supply and Logistics Coordination**:
- Secondary focal point and coordinate with SUB (representatives) and internal contact, customer and third parties related to operational activities for deliveries, re-deliveries, product transfer and internal cargo movements.
- Plan and monitor the required services based on organization commitments and local requirements. Monitor the cargo movements’ activities and prepare documentation and reporting.
- Focal contact person in term of communication related to vessel berthing planning, operations progression updates and truck loading arrangement.
- Report on problems, delays and deficiencies that foreseen and may occur directly to Logistics Supervisor.
- Coordinate with SUB representatives, shipping agents and Port authorities on vessel arrival and departure.
**Service Management**:
- Collaborate with others departments in term of communication and disseminating information within others department’s need and limitation.
- Prepare and provide the monthly activities report and statistical data to Logistics Supervisor review for shipment, Port activities and service usage, and logístical data needed for reporting.
- Collect all cargo movement data to present monthly key performance figures to Operations Supervisor about the split of internal activities and vessel operations performance.
**Management of Shipping Programs**:
- Arrange shipping programs in line with company commitment and SUB service request.
- Coordinate arrival and departure information, and disseminate within the Department(s), Agent(s) and Terminal Port Authority (TLP).
- Communicating with shipping agent regarding shipping schedule, delivery orders and vessel capabilities concerning specific voyages in order to achieve better planning.
- Coordinate with third party lab assistants for product testing and arrange surveyor attendance for shipments/product sampling.
- Ensure all set document are in order and obtained/collected/distributed.
- Carry out the vessels vetting and coordinate accordingly with SUB and Port Authorities.
**Logistics Department Activities**:
- Assist the Operation Administrator in managing Tank Management System (TMS) related to organization stock, movement reporting and inventory management whenever needed.
- Customers truck loading orders taking and create tour plan/orders in NAV & TMS for truck loading.
- Assist Operation Administrator in stock reconciliation in TMS whenever needed.
- Backup Operation Administrator task during absence/whenever needed.
- Manage cargo Customs declaration activities related to operation activities (Bitumen deliveries & re-deliveries) ensure all Cargos (product) import & Export are declared to Customs. Follow-up with agents.
- Coordinate between clients and third-party laboratory on product testing requirement.
- Perform others tasks that may be assigned by Logistic Supervisor from time to time.
**REQUIREMENTS**
**Experience**:
- Diploma in Logistic or business studies or its equivalent.
- Experience in distribution business, including supply chain and scheduling and planning exposure in an industrial company
- 3-4 years in the jobs with supervision and personnel management responsibilities
- Basic knowledge in petrochemical handling and operations will be an advantage
- Knowledge and experience in vessel import, export operation in port, coordination with shipping liners, agents, and forwarders, documentations preparations and truck loading operations
**Skills & Competencies**:
- Proficient in Microsoft office and outlook, experience in Navision will be an advantage.
- Good communication and inter personal skills
- English proficiency, ability to write clearly and effectively.
