**Responsibilities**:
Document Compilation:
- Organize and compile various documents such as receipts, invoices, and other financial records.
- Categorize and arrange documents according to their respective dates for easy reference and retrieval.
Invoice issuance:
- Issue Invoices to clients, suppliers and other relevant stakeholders in a timely manner.
- Maintain accurate records of all issued invoices and monitor payment status.
Payroll Management:
- Execute payroll tasks (manually and also utilizing the Payroll System) as required, ensuring accuracy and adherence to company policies.
- Prepare submissions of EPF/SOCSO/PCB
Payment Calculation:
- Calculate the total payment required by the company for each month.
- Consider fixed company expenses, payroll, claims, tax payments, and any other financial obligations in the comprehensive payment calculation.
Authorization Form Creation:
- Generate authorization forms for director approval and signature.
- Ensure timely preparation of forms in accordance with the company's payment schedule.
Administrative Tasks:
- Record and track team leave.
- Manage diaries, logbooks, schedule meetings and book appointments.
- Manage office maintenance, servicing and supplies.
- Print, scan and photocopy documents.
- Ensure proper maintenance and filings of files, records and relevant documentations to support all accounting entries.
- Perform ad-hoc assignments or reviews as delegated or when necessary.
- Maintain data confidentiality and conduct database backups when necessary.
Others:
- Ensure all transactions and tasks are compliant with financial policies and regulations.
- Assist in financial report review and adjustments.
- Liaise with external stakeholders (e.g.: bankers, auditors, and tax authorities/agents, suppliers, contractors and staff from other departments etc.) on relevant matters.
- Monitor cash flow and maintain cash controls.
- Ensure transactions are processed and properly recorded.
**Qualifications**:
- Has relevant working experience in general account, finance and relevant areas for 1-2 years is preferred.
- A Degree in Accounting and/or Finance is preferred.
- Excellent knowledge of accounting regulations and procedures standards set by the Malaysian Accounting Standards Board.
- Excellent organisational and coordination skills.
- Familiarity with office management procedures.
- Responsible, efficient and structured with attention to detail.
- High proficiency with Microsoft Office and Google office suite, especially Excel and Sheets.
- Strong interpersonal skills to enable effective communication and teamwork when needed.
- Malaysian citizen
- Open to fresh graduates.
**Notes**
- The successful applicant will be required to undergo a 3 (three) months probationary period.
