**The Role**

**Reporting to: Head of Marketing and Communications**

The Events Planner role involves irregular hours with some evening and weekend commitments.

**Key Responsibilities**
- To provide advice on events management within the College
- To proactively liaise with departments within the College and external organisers as appropriate regarding the planning and delivery of events
- To provide and manage all events services to ensure consistency and high standards
- To co-ordinate and manage resources for events
- To discuss and agree budget limits for events and to devise budget plans for events, managing and ensuring their cost effective delivery
- To manage the events operations in accordance with health/hygiene legislation and College policies
- To prepare supporting documentation to ensure the effective management of the events and in particular to liaise with the relevant personnel regarding risk assessments
- To monitor and review the services of internal and external suppliers in order to ensure the best possible service for the price paid
- To facilitate the recording of events for marketing purposes by filming or photographing the events
- To ensure that events are fully communicated to all relevant parties in a timely manner
- To inform the College of any particular issues that might affect the effective delivery of the programme of events
- To ensure the branding and marketing of the events is effective and consistent with the College’s requirements
- To receive, record, evaluate and disseminate customer feedback: to identify and implement improvements as appropriate

- To contribute to any other projects as directed by the Master, Second Master, the Director of Admissions & Marketing or the Bursar
- To observe and comply with all College policies and regulations, for example Health and Safety, Data Protection, Safeguarding etc.
- Since job descriptions cannot be exhaustive; the post holder may be required to undertake other duties, which are broadly in line with the above.

**Educations and Qualifications**
- A relevant formal qualification that reflects the key duties of the post or previous relevant working experience in events management

**Essential Skills and Abilities**
- Excellent interpersonal skills to manage requirements and expectations of event stakeholders
- Proven ability to manage high profile events
- Tact and diplomacy to deal with people in a professional manner in all circumstances
- Experience of managing and co-ordinating the work of events staff
- Ability to use own initiative and problem solve
- Excellent verbal and written communication skills
- Excellent planning and organisational skills
- Experience of managing budgets
- Good attention to detail
- A flexible approach to working, sufficient to be able to attend events that take place outside of normal working hours such as evenings and weekends
- Calm under pressure
- Resourceful and pro-active approach to working
- Knowledge of a school; environments critical to a smooth transition
- Knowledge of basic photography and filming skills
- At times, it can be physically demanding

**Terms and Conditions**

**Hours of Work**

The College’s main working hours are 8.00am - 5.00pm, Monday to Friday. This role is during term-time, plus a maximum of 25 additional work days out of term-time; however, the Events Co-ordinator will need to work a number of evenings and on weekends, during term-time, to support the efficient operation of the College.
