**Job Purpose**
Responsible for managing Company’s Operation admin support activities for all the sites assigned under his/her care. This includes co-ordinates with field operation team to provide operational and back-office support.
Abilities to manage priorities and demands and solve problems, support staff, as well as perform the duties of a supervisor when require.
**Responsibilities**:
Responsibilities of the role include the following:
**A. ATTENDANCES**
1. Check and verified with operations on the daily timesheets
2. Submission of final attendances to Payroll
3. Providing advice and support to workers with regards to attendances and leave enquiries
4. Leave and time attendance administration
- **B. BILLING COORDINATION**
1. Prepare attendances summary and verified on the shortage of Manpower
2. Coordinating with Finances departments to ensure the accuracy of attendances billing information.
**C. CREDIT NOTE VERIFICATION**
1. To verified and submit the manpower status report & credit note summary for Finances to proceed in issuances of Credit Note to the clients.
**D. TRANSPORTATION**
1. Invoices from supplier - outsources
2. Providing administrative support to ensure company operation undisrupted.
3. Handling company vehicle insurance renewal, road tax renewal, PUSPAKOM booking for inspection.
**E. HELPDESK**
1. Provide a friendly and professional point of contact for customers for any queries or concerns.
2. Handle incoming calls and manage outgoing calls as required.
3. Liaise with wider team members to ensure the best resolution, consistent with the contract.
4. Completing administration tasks that relate to the contact, including assigning contract colleagues and sub-contractors to service requirement tasks, payroll, general admin etc.
5. Liaise with relevant Contract staff in relation to all aspects of service desk requirements and that required information is returned in a timely manner. Respond to queries, amend data and re-issue tasks as required.
6. Work closely with Contract/Operation /Facilities Managers to develop and enhance the quality of service and reporting processes.
