Job Summary

The Administrative Assistant reports directly to the Centre Director and is responsible for carrying out the student services, admission operations, administrative and customer services in accordance with the policies and procedures of ELS Language Centres, Malaysia. His/her responsibilities include performing all the following in addition to other duties as may be necessary or assigned by Centre Manager from time to time.

Job Duties

The Administrative Assistant is responsible for performing the following specific duties:
**International Students Affairs**
- Monitoring international student visas related matters
- Submitting of documents to immigration Johor Bahru
- Monitoring student visa extension and cancellation shortening
- Ensuring the exit memo or exit stamp of passport page is retrieved from students
- Preparing reports and maintaining records of Embassy scholarship students
- Compiling scholarship billing documents for HQ accounts dept
- Arranging accommodation
- Arranging insurance coverage
- Arranging for student cards from HQ
- Ensuring student documents file according to KDN & KPM requirements

**Administrative duties**
- Assist to walk-in customers and provide basic course counseling
- Arranging placement test for student
- Notifying student the placement test results & request for fee payment
- Follow-up with prospective students and students who are on leave
- Calling absentees who are absent for 2 consecutive days
- Updating enrolment statistic reports
- Maintaining international student records
- Enrolling students to CAS
- Preparing the CIEP Scheduling in CAS
- Preparing student continuing list
- Printing academic templates for eachers
- Preparing teachers file for teachers
- Preparing class list for teachers
- Preparing the CIEP books and print schedule for students
- Printing progress reports and certificates for students
- Keeping inventory of books, stationary & graduation gifts
- Taking charge of library (teacher)
- Updating the notices in the centres and removing outdated notices
- Checking & ensuring the equipment and furniture are in good conditions
- Counselling and motivating students
- Compiling academic & photocopying reports for AD

**Organize programme**
- Organizing IELTS class & any other programmes
- Contacting prospective students and collet fees
- Arranging for teachers and prepare schedule with AD
- Preparing teacher files and attendance reports
- Preparing books and book list

**Out of office task**
- Conducting placement test for ESP at client’s venue
- Attending to Education Fairs or Workshops
- Going to Immigration dept for student visa matters
- Going to education office to renewal teaching, employee permits, etc

Pay: From RM3,000.00 per month

Schedule:

- Day shift

Ability to commute/relocate:

- Kuala Lumpur: Reliably commute or planning to relocate before starting work (required)

**Education**:

- Bachelor's (preferred)

**Experience**:

- Administration: 2 years (preferred)

**Language**:

- Mandarin (required)
- English (required)
