**The Role**
**Reporting to: Director of Admissions and Marketing**
The Master seeks to appoint a well-qualified client service professional who is willing and able to advocate and be part of a traditional British boarding school environment. This role demands a degree of flexibility to ensure that the College continues to thrive. Association with, knowledge and belief in the ethos and intrinsic value of the British independent boarding tradition would be an asset. The ability to be a positive and earnest ambassador for the College - internally and externally - with strong interpersonal skills will be important, as will the ability to be a good team member with requisite senses of humour and perspective.
The College is seeking to employ a well-qualified, enthusiastic and dedicated Admissions & Marketing Assistant to support the Admissions & Marketing department. The Assistant must be able to deal calmly and effectively with prospective parents and pupils, all members of staff and outside organisations.
**Key Responsibilities**
**Job Summary**
The Admissions & Marketing Assistant (as part of the Admissions & Marketing team) will assist the department with secretarial and administrative support as well as assisting with the recruitment of pupils to the College. Applicants should have excellent interpersonal, communication, IT, administrative and organisational skills, with the ability to be flexible, work under pressure, combined with tact, diplomacy and confidentiality. A good team player is required.
Provide secretarial and administrative support:
- Diary management including arranging appointments and planning travel arrangements for the department
- Preparation and management of meetings, events and deadlines
- Welcoming of visitors
- Control of marketing literature, marketing materials and other promotional material
- Attendance at meetings and minute taking
- Management of data on the College computer system
- Uploading of relevant information to Kissflow for the department
- Booking of external venues and liaison
- Filing physical advertising and maintaining the marketing archive
Telephone and in-person communication with a wide variety of stakeholders including prospective parents and outside organisations. The Assistant will answer telephone calls and enquiries, dealing with them efficiently and tactfully, passing messages and taking appropriate action.
Liaison with other departments to facilitate the efficient running of the office.
**Assist with handling enquiries to enrolment**:
- Work diligently in a team approach towards set pupil number targets
- Assist in the cascade information in a timely manner about students to colleagues, including Academic team, Finance, Transport, Catering Manager and School Nurse
- Liaise closely with Teachers, Heads of School and Administrative staff with regards to the smooth transition/induction of new families, and support arrangements for new starters
- Assist with the collation of files and uploading relevant documents to iSAMS
Assessments:
When necessary, liaise closely with Teachers, Heads of School and Administrative staff to set up physical assessments for children.
**Follow best practice in the Admissions process**:
- Follow Admissions standardised procedures and contribute to the effective development of best practice in terms of operation and delivery;
- Be aware of our key messages and promises, and ensure these are consistently communicated to potential or existing parents;
- Ensure all Admissions & Marketing meeting areas and tour routes are delivering a high-quality experience.
**Admissions & Marketing recording and reporting**:
- Assist in producing reports as required.
**Communication and customer service**:
- Build and develop strong and positive relations with Academic and Admissions & Marketing staff and other key staff;
- Assist with parent liaison and relationships ensuring that word of mouth comments are positive;
- Positively represent the school at all times;
- Provide focused and high quality of customer care at all times.
**Key Events & Admissions timeline**:
- Support College orientation events at each new term
- Support start of term and mid-term induction processes for new pupils
**Essential Skills and Abilities**
- Excellent secretarial and administrative skills
- Experience within a customer focused administrative process
- A superb level of proficiency in spoken and written English
- Excellent written communication skills and attention to detail
- Ability to work under pressure with limited supervision, whilst maintaining a high standard of work
- Approachable with good interpersonal skills
- Experience of communicating effectively with a wide range of people and the ability to be a positive team player
- High degree of IT literacy
- Mandarin speaker
