HR & Admin Assistant (Fresh Graduate Welcomed)

A Human Resource and Administration Assistant shall perform all job functions and resume all responsibilities outline in the Job Scope when given by Human Resource and Administration Manager and approved by Top Management. The Human Resource and Administration Assistant has specific responsibilities towards Human Resource Department and Company, and shall:
Primary
5.1
Ensure compliance with ISO9001, AS9100 & ISO14001.
5.2
Fully responsible on maintaining the work structure by updating job requirements and job descriptions for all positions.
5.3
Payroll and Benefits Administration
5.3.1
Processing payroll, which includes ensuring vacation and sick time are tracked in the system
5.3.2
Answering payroll questions
5.3.3
Facilitating resolutions to any payroll errors
5.3.4
Participating in benefits tasks, such as claim resolutions, reconciling benefits statements, and approving invoices for payment
5.4
Record Maintenance
5.4.1
Maintaining current HR files and databases
5.4.2
Updating and maintaining employee benefits, employment status, and similar records
5.4.3
Maintaining records related to grievances, performance reviews, and disciplinary actions
5.4.4
Performing file audits to ensure that all required employee documentation is collected and maintained
5.4.5
Performing payroll/benefit-related reconciliations
5.4.6
Performing payroll and benefits audits and recommending any correction action
5.4.7
Completing termination paperwork and assisting with exist interviews
5.5
Training & Development
5.5.1
Schedules participants into training sessions.
5.5.2
Tracks participants and training records.
5.5.3
Enters training records into a database and maintains it.
5.5.4
Tracks the implementation of the employee performance development - Annual Training Plan.
5.6
Provide secretarial support by entering, formatting, and printing information, organizing work; answering the telephone; relaying messages; maintaining equipment and supplies.
5.7
Consider all information confidential and not to be shared with other employees. The materials should be maintained in a separate file from either personnel files or records.
5.8
Ensure safety of workplace.
5.9
Assist in any ad-hoc duties, projects and activities as and when required.
Pay: From RM1,800.00 per month
