Responsible for the administration of the day to day operations of HR and Admin functions and duties.
Incumbent is expected to handle admin matters, employment matters, month end payroll and management of employee data with the objective of being compliant with Megamas Jaya SB HR policies and procedures.

Key Accountabilities Key Actions Measures

Leave and OT Management & Other -Assist in managing staff leave -Accuracy of leave records.
- Provide updated leave records to -Comply to HR Department’s employees when requested. SOP.
- To handle attendance online system.
- To key in and check in the allowances,

OT, incentives as well as the deduction calculation to avoid over or underpaid to the staff.
- Manage Medical reimbursement claim.

Payroll Management -To handle full set of staff’s payroll and -Accuracy of data. statutory contributions to ensure salary -Staff complains. process and submission are within the -Salary release within the fixed timeline set by Company and company timeframe before
Government Statutory Bodies. 28th of each month.
- To generate monthly payroll and other -No penalty from any supporting reports / analysis to the government statutory.
Management for approval.
- Generate, print and distribute pay slip within the fixed timeline set by Company.
- Prepare EA for annual company tax declaration.
- Balance the payroll accounts by resolving payroll discrepancies.
- To update and upkeep of employees’ records and details into the payroll system and ensure all the related documents have been collected within the timeline for the monthly payroll process.
- Ensure accurate payment of all sorts of salary such as basic salary, arrears, overtime, allowances, incentives and reimbursement.
- Ensure salary payment is on time as stipulated by law and regulations.
- Ensure accurate and lawful deductions of salary payment such as government statutory contributions, insurances, overpaid payments, payment of short resignation notice, and any other deductions with Beneficial’s written consent.
- Ensure salary details comply with government statutory contributions.
- To ensure the Tax clearance of staff being done upon resignation before release last drawn of salary.

Compensation and benefits -Attends to employee’s grievances and -Staff complaints complaints; provides guidance if -Rejection of claims by necessary. Government Statutory Body.

- Provides feedback to the Management to enhance a better and cordial working environment.
- Register new employees, report terminations, receive and process claims, handle employee queries, track and follow-up disputes, receive and distribute new ID cards and related materials. Also, process billings and administer payment process.
- To source and propose panel clinic to
Management.
- Liaising with panel clinics for staffs’ benefits entitlement.
- Monthly update of employee records to company listed panel clinics.
- Handling of employee medical / health insurance claim to Government
Statutory Body.

Disciplinary and Employment -To handle in employee disciplinary -All HR related
Documentation issues - staff dispute, grievances, correspondence is issued negligence and other disciplinary within required timelines to matters. the correct person.
- To involve in various type of employment documentation from prepare, drafting, and final output of such documents - i.e.
Termination, Disciplinary letters,
Appointment, Confirmation, Transfer,
Promotions, Acceptance of Resignation
Letter and other HR related correspondence / supporting documents.
- Liaising with departmental heads with recruitment process and setting up interviews
- Arranges interviews for all level of position.
