**Executive, Sales & Order Planning**
**Department : Hub Malaysia (BP63000)**
**Role description**
The main responsibility is to coordinate with importers and internal stakeholders from order planning to truck deliveries to importers: all logistics, invoicing instructions, order planning/order book/order intake/invoices/inventory follow up for all the countries within the hub and assist the Business Controller for Estimate.
**Responsibilities**
- Responsible for coordinating the lead time information and movement of trucks from factories located in Asia to private importers and body builders, planning importers or customers LC, sending shipping and vehicle invoicing instructions, sales notes with pricing, issuing required documents) for export.
- Change management in term of the agility to adapt to changing environment for S&OP and to execute warnings & advice for S&OP
- Secure the order planning activities according to target delivery date by maintaining good level of coordination with production and S&OP team, monitoring the deadlines, conducting orders swapping and cancellation, finding available slots to fulfil order demand from importer.
- Propose demand program to management by optimizing the allocated program to achieve target sales and profitability.
- Lead the Demand Review Meeting for hub Malaysia, prepare sales summary report with order intake, order book, invoices and inventory at importer and hub level.
- Key market contact for trucks logistics related matters, secure effective information flow between factories, order planning department, delivery & invoicing department, private importer, and body builders.
- Prepare monthly orderbook delivery report in an accurate and timely manner for importer to prepare sales forecast and inventory management.
- Organize the LC process by sending the LC opening request to importers according to UD framework, secure LC confirmation from trade finance and timely shipment of trucks.
- Prepare monthly detailed market share report for key markets (MYS, VN, PH, HKG and SGP) in a timely manner.
- Analyze the market data and provide insightful information on the commercial vehicle market trend and segmentation to internal stakeholders.
- Support business controller, sales directors, general managers and MD for Business Review Meeting presentations and any other relevant material.
- Support Business Controller to provide volume, product mix and price by market for each Estimate as well as market retail information (retail sales forecast & retail inventory forecast)
- Discharge such other duties and responsibilities that may be directed by the immediate supervisor

- TSA Factory (or any additional UD Trucks or affiliates factories) mainly TSSC team

- Trade Finance for credit limit and LC matters
- Body builders occasionally
- UD Trucks international sales support functions (logistics, marketing etc)
**Key targets and results**
- Day Inventory Outstanding
- Individual unit sales as per last estimates
**Required knowledge/experience**
- Excellent knowledge about logistics and order to export processes for at least 2-5 years, preferably in the automotive industry
- Knowledge of Asian countries import procedures
- Knowledge of marketing
- Existing experience and business acumen of the Japanese truck brand in South East Asia is a major plus
- Highly computer literate (Microsoft Office suite)
- Customer mindset
- Structured and organized
- Communication skills - fluent in English, written and verbal
- Able to work independently and delivers on time
- Ability to work in a multi-cultural team, partly based abroad
- Conscientious, integrity and team player qualities are essential
- Any South East Asian language is an advantage
