**Position: Business Admin Support**

**Tenure: 9 Months contract (Maternity Replacement)**

**Basic Salary: RM 4500**

**Working Location: Kuala Lumpur**

**Working Mode: Hybrid (3 Days Office 2 WFH)/ Standard**

The person will work closely with the service owners to provide business support from sales to planning to invoicing. The support cover countries like Australia, Singapore, Philippines, Malaysia, Vietnam, Thailand and Indonesia.

**Responsibilities**:

- Ensuring all the data (i.e. sales / customer information/ project delivery/ planning and scheduling/ project documents) in the systems are updated and correct.
- Planning of assessments in advance for at least 3 months (this includes the requests received from other countries and other areas as well as sending request to other countries
- Communication and confirmation of projects with clients and assessors. Confirming the details in the scheduling system. Updating the details of time spent by assessors / specialists / technical experts etc. for each project in system.
- Ensuring the reporting is done by the assessors on time for the completed projects;
- Administrative work for the arrangement of any event, training, seminar etc and travel arrangements for overseas visitor / auditor etc
- Processing of the expense claims for the subcontractors and company assessors.
- Preparing and getting signed agreements of the contracts with all subcontractors on annual basis.
- Providing the draft of Certification proposal and follow up for approvals. Providing the draft of agreements.
- Communication with customers to receive the quotation request form, arrangement of meeting between technical persons and customers, follow up with customers to update the status.
- Issuing invoices, confirming the payments and balances.
- Monitoring and reporting the status of projects and delivery
- Any other necessary administrative work related to activities / projects.
- Any other work assigned as and when is required as per the line manager.

**Job Requirements**
- Minimum Diploma or equivalent
- Minimum 3 years of Experience working in similar industry - operations and or technical area is preferred.
- Work experience in managing customers / clients and working with teams in different cultures (i.e. other Asian colleagues)
- Good hands-on understanding and experience working with Microsoft Office programs (Word, Excel, Outlook, etc) and systems (i.e., Oracle) - Added advantage.
- Pro-active and can work independently.
- Experience in planning and sales support will be an added advantage.

**Job Type**: Contract
Contract length: 9 months

**Salary**: Up to RM4,200.00 per month
