1. Warehouse Operations (JHB, Senai, Pasir Gudang)

i) To ensure Warehouse operations run smoothly in terms of receiving, outgoing, loading and offloading. Assistant Manager must work in tandem with both operation and data entry team to ensure that warehouse activities are carry out diligently.

ii) Responsible to work with operation floor for the effective plan and execution to fulfil customers need and to avoid bring negative impact for customers.

iii) To ensure all Material Handling Equipment (MHE) available are working properly, if any breakdown it must be repaired immediately. Any major reparation required, vendor must provide replacement to avoid operations activities disruption. Manager must work closely with vendor to ensure monthly servicing is conducted and obsolete equipment shall be replaced.

iv) To monitor and address if any issue related to goods receiving and issuing follow the documents given and verify if physical tally against document. This is to avoid any data discrepancy or incorrect items recorded.

v) To monitor and plan for the manpower efficiency and effectiveness. Any short fall of manpower shall be handled precisely to avoid customer complaint or line down.

vi) To assign operation staffs perform daily cycle count for random picked at 50 items to ensure physical stock is tally against WMS system.

2. Warehouse Safety and Security

i) To regularly monitor the safety of warehouse surrounding, to ensure that the goods are stored in good position and not causing and harm or danger to staffs. Provide briefing or training to staffs on regular basis to ensure SOP is followed.

ii) At the same time, to monitor that there is no point of force entry applicable in the warehouse which may give opportunity for intruders to break in by ensuring that all doors and windows are properly locked when operation is ceased. Assistant Manager shall work closely with security service provider to ensure that they perform their work and understand the importance of roaming and safeguarding the premise.

iii) Frequently monitor the safety of warehouse structure by identifying any defect structure which may cause harm or danger to staffs and goods stored in the warehouse. Assistant Manager shall liaise with facility owner if any defect to repair the building structure as soon as possible.

iv) To check and monitor the security guard movement by ensuring their duty is fulfilled to safe guard the surrounding 24 hours. Security shall report directly to Assistant Manager for his next action if there is anyone attempting break in.

v) Immediately report to the Warehouse Manager/General Manager if found any concern related to safety and security in the warehouse and advise next action or provide preventive measurement.

vi) Regularly monitor the CCTV playback to check for any irregularities in term of warehouse operations and security aspect.

3. Housekeeping

i) Monitor and check the warehouse surrounding to ensure it is in good condition and proper housekeeping is maintained. Plan with third party cleaner to ensure housekeeping in done and maintain.

ii) Always check and monitor the movement of the cleaners in the warehouse so as to ensure that they performed and maintained the tidiness and housekeeping of the warehouse area.

iii) Maintain the good image and tidiness of warehouse, all cargoes are to be well stacked and arranged on the racking system.

iv) Check the pest control record to ensure monthly pest control is committed and not pest manifestation visibly in the Warehouse.

v) Keep a good track record for housekeeping and pest control activities in the warehouse.

4. Manpower Control/Utilisation

i) Monitor and plan the manpower movement to ensure the warehouse activities run smoothly without interruption.

ii) Provide weekly/monthly schedule for manpower optimization.

iii) Control overtime allocation and ensure work complete on time.

iv) Assistant Manager will work closely with HR department for the hiring and recruitment process if require to add manpower, and gain approval from Warehouse Manager/General Manager.

5. ISO and Safety Committee (QEHSS)

i) Assistant Manager is the key personnel to organize and lead the safety committee team which has a function to uphold the safety and well-being of the staffs. This includes providing a safe working environment for them and organizing any events that raise the awareness of the safety in work place and enhance it.

ii) Assistant Manager to chair a quarterly safety committee meeting and discuss with the team members of any issue related to make a workplace safe.

iii) Collaborate with QEHSS team from HQ to prepare for the internal/external audit.

iv) Assistant Manager/Manager is the representative of branch for ISO certification.

v) In house trainer - when required.

6. Department KPI Goal Setting

i) Assistant Manager is responsible for analyzing and setting a KPI goal for Warehouse department.
