**Position**: DTO Intern (Human Resources)

**Department**: Operations

**Location**: Remote with 4 Days /Week in the Office* - Starting March 2024
*KL Office: Lorong Tanjong, Bukit Gasing, 46000 Petaling Jaya, Selangor

**Employment**: 2-Months Probation + 4-Months Internship

**Duration**: Full-Time, 5 Days /Week, from 9AM-6PM, for 6 Months

**Requirements**:

- Bachelor's degree in human resources management, business administration, psychology, or a related field is preferred, though not mandatory
- Past experience in human resources management, office administration, or related roles within student groups or organisations is required
- Experience in managing both staff and volunteers is highly desirable, including recruitment, training, performance management, and volunteer engagement
- Proficient in office management duties, including facilities management, supplies procurement, and ensuring a conducive work environment for staff and volunteers
- Experience in volunteer recruitment, engagement, and retention strategies, ensuring a positive volunteer experience and effective utilisation of volunteer resources
- Strong administrative skills, including record-keeping, documentation, and maintaining HR-related files and databases
- Ability to work remotely and in the field, demonstrating adaptability to different working environments
- Excellent verbal and written communication skills are essential for effective interaction with employees, management, and external stakeholders
- Ability to prioritise tasks, manage multiple projects simultaneously, and meet deadlines
- Familiarity with Google Workspace, particularly Google Docs and Google Sheets, for collaboration and document management
- Fluent in both English and Malay, with the ability to communicate effectively in both languages

**Responsibilities (Internal Operations)**:

- Staff and Volunteer Management:

- Oversee the recruitment, onboarding and training of both staff and volunteers
- Maintain personnel records, including contracts, attendance and evaluations
- Address staff and volunteer concerns, provide support, and facilitate conflict resolution when necessary
- HR Policy and Compliance:

- Ensure compliance with labour laws, regulations, and organisational policies
- Develop and update HR policies and procedures as needed
- Office Administration:

- Create and maintain a safe, clean, and organised work environment
- Manage day-to-day office operations, including facilities management, supplies procurement, and maintenance
- Employee Relations:

- Handle employee grievances, conflicts and disciplinary actions
- Foster positive employee relations, and promote a culture of inclusivity, diversity and teamwork within the organisation
- Performance Management:

- Identify team training and development needs for staff and volunteers
- Implement performance management processes

**Responsibilities (Project Roles)**:

- Volunteer Recruitment and Management:

- Provide orientation, training and ongoing support to volunteers
- Coordinate volunteer recruitment efforts for specific projects or initiatives, ensuring the alignment of volunteer skills with project needs
- Project Staffing Support:

- Assist project managers in identifying staffing requirements for project teams
- Onboard project-specific staff and ensure compliance with project-related employment contracts and policies
- Office Setup for Projects:

- Coordinate internal and external logistics for project-related events
- Set up office spaces, as needed, for project teams, ensuring they have the necessary equipment, supplies, and resources
- Project Documentation and Reporting:

- Maintain project-specific documentation (contracts, agreements, etc.)
- Assist in preparing project reports, progress updates, and documentation for internal and external stakeholders
- Project Communication and Coordination:

- Facilitate collaboration between project teams and other departments
- Serve as a liaison between project teams and the HR department, ensuring effective communication and coordination of HR-related matters

**Compensation**:

- 2-Months Probation: RM500
- 4-Months Internship: RM1,000 /Month + Allowances for Field Work

**Grow With Us**: After completing their 6-months, successful applicants will have the option to extend their employment.
