You will be working closely with KDMY Management and Head Department in the company in order to completing the task assigned as well as will be communicating directly with all management levels from Japan HQ, Regional HQ (Hong Kong), all the General Manager (GM) in other sales company and other executives. You also will support Management in term of planning, interpretation of verbal communication & translation and submit reports to Management.
You should have a firm understanding regarding the company policy, practices and regulation, and possess excellent communication skills. To successfully execute this role, you should have a good presentation skill with the ability to present correct information, trustworthy, prompt, detail-oriented, prioritize accuracy and practice the principle of double checking.
JOB RESPONSIBILITIES
1. Support Management to lead corporate strategy and planning, develop, implement and continuously update/refine company’s strategy.
2. To assist in corporate planning activities including the development of company work plan, monitoring and reporting of corporate performance.
3. To assist in developing annual budget and monthly forecast by coordinating with various teams.
4. To prepare a pricing simulation for a government tender.
5. To support weekly and periodic reporting cycles by developing and maintaining reports.
6. To assist in evaluating business process, analyse business requirements, uncovering areas of improvements and streaming opportunities, developing and maintaining sound solutions to cope with business change by coordinate with various teams.
7. To produce insightful and useful reports by gathering critical information with relevant stakeholders.
8. To support and closely monitor company key action plans by tracking the progress and comparing with base objectives.
9. To assist in managing projects, developing project plans, and monitoring deliverables and ensuring timely completion of projects.
10. Acting as interpreter and providing management / parties with clear and exact of translation of written materials, and interpretation of verbal communication.
11. Liable to draft, translate or proofread official letters and documents on behalf of Management from Japanese to English/ Malay or vice versa.
12. Attend meetings internally and externally to record minutes and provide bilingual / trilingual interpretation when needed.
13. Accountable to prepare meeting materials as well as monthly reports internally and externally and follow up with respective departments for the materials.
14. Liaise with different parties internally and externally to follow up and ensure smooth business operations and timely submission of reports.
15. Accountable to schedule internal and external meetings or appointments that involves KDMY Management such Weekly Meeting, Monthly Review Meetings, Board of Director Meeting and etc.
16. Monitor tasks delegated by Management to ensure work is achieved to agreed deadline.
17. To assist in carrying out verification process for checking all submission of related documents and procedures are in compliance with all relevant policies and guidelines set by Company.
18. Responsible to create and draft a new and renewal policy for company and submitted to Regional HQ / Japan HQ for approval and enforcement of the policies.
19. To update and revise new compliance based on Malaysian law and regulation and reporting to Management and Regional HQ for enforcement.
20. To update necessary information requested by Regional HQ / Japan HQ within stipulated deadline.
21. To be working closely with other department and provide support when needed.
22. To carry out specific management duties / projects as assigned and handle any other ad-hoc duties as required.

- Bachelor’s Degree or equivalent in Business Studies/Administration
- Relevant working experience in the document technology with good business acumen is an added advantage
- Business level in Japanese, English and Malay
- Excellent command of written and spoken English, Japanese and Malay
- Japanese Proficiency: JLPT N2 and above
- At least have 1-2 years of working experience
- Experience serving Senior Executives in sizable companies
- Smart, fast learning, logical thinking
- Familiar with Japanese working culture
- Excellent interpersonal, coordination and organization skills
- Strong analytical skills are required, including the ability to analyse raw data, draw conclusions and summarize actionable recommendation as part of forecasted outcomes / implications.
