Job Summary: We are seeking an experienced Administrative Operations Specialist to join our team. The successful candidate will report directly to the Co-Founder and COO and take charge of completing administrative tasks essential to the day-to-day global operations of the company.

Main Responsibilities:

  • Host and manage webinars and panels for audiences on Zoom, ensuring a seamless experience for both students and mentors.
  • Oversee end-to-end email campaigns using Canva, Zoom, Eventbrite, and Mailchimp, leveraging marketing tools to enhance engagement.
  • Manage the Mentor Searcher process to assist event production teams, fostering collaboration across departments.
  • Produce and grade monthly SAT diagnostic tests, including email campaigns and Zoom meetings, providing valuable insights to stakeholders.
  • Host live 2-hour SAT tests twice a month and perform post-production data analysis and reporting, driving continuous improvement.
  • Collaborate with the marketing team for social media content posting and analyze social media data, staying up-to-date with industry trends.
  • Manage student and mentor onboarding, coordinate activities, and work with finance for mentor payouts, ensuring smooth transactions.

Requirements:

  • Relevant business administration or assistant experience, preferably with expertise in work management and marketing tools such as Zoom, Mailchimp, Eventbrite, Monday.com, and Slack.
  • A keen eye for detail, ensuring all tasks are completed with precision, and creating checklists and protocols to guarantee accuracy.
  • Excellent time management skills, prioritizing tasks effectively and making preparations to ensure work is completed on schedule.
  • Collaborative attitude, actively contributing to team goals, offering process improvements, and removing obstacles to help the team succeed.
  • Strong communication skills, conveying ideas and information clearly across various channels, producing concise and effective written correspondence.
