We are seeking a detail-oriented and proactive Administrative Assistant to support the Penang Institute in its daily operations. In this role, you will be responsible for handling employee queries, providing administrative support, and serving as the main point of contact for general/public enquiries.

Main Tasks
  1. To oversee the planning, coordination, and execution of various events held by the Penang Institute, ensuring seamless logistical arrangements and technical support.
  2. To establish and maintain relationships with vendors and suppliers through regular communication and negotiation.
  3. To offer technical assistance to all employees and ensure the optimal functionality of institute facilities.
  4. To manage the rental of the institute's hall and other facilities, providing tenant support and maintaining accurate records.
  5. To contribute to the efficient functioning of the front office, which involves welcoming guests, receiving and delivering mail and packages, answering phone calls, scheduling meetings, and coordinating office activities.
  6. To assist in collecting and entering data for research purposes.
Requirements
  • A Diploma in a relevant discipline, combined with relevant working experience.
  • Excellent English communication skills are essential.
  • Bilingual or multilingual proficiency is a valuable asset.
  • Ability to work efficiently under demanding situations and tight deadlines.
  • Flexibility to work outside regular office hours when necessary.
  • Capacity to address emerging issues and troubleshoot problems on event days.
  • Proficiency in various event software applications.
  • Residency in Penang is mandatory.

This is an on-site position requiring physical attendance in the office from Monday to Friday.
