Office Executive Leader

At TIME's group, we are seeking a highly skilled and experienced Office Management Executive to join our team. This is a key role that will be responsible for the smooth operation of the office.

Key Responsibilities:
  • Procurement
    • Maintain and manage the inventory of office supplies, equipment, and services.
    • Sourcing of vendors and quotations for procurement purposes.
    • Preparation of procurement documentation, including purchase requisitions and goods receipt notes.
    • Liaise with and manage vendors and service providers as deemed necessary.
  • Office Administration
    • Ensure the department's administrative matters are handled efficiently and effectively.
    • Maintenance of office equipment and ensuring they are in good working condition at all times.
    • Provide administrative support to the Manager and team members as needed.
    • To provide logistical support, such as travel arrangements and company car bookings for staff.
    • To assist with the organization of internal and external events and meetings, including food and beverage arrangements.
    • Act as a backup to the Front Desk Support, Secretary, Senior Administrator, and Manager.
    • Responsible for ensuring new joiners settle into the office smoothly by performing tasks such as door access registration, stationery distribution, and printing staff IDs.
    • Daily inspection of the office to ensure it is maintained in a tip-top condition.
  • SSHE/Facilities Management
    • Assist in reinforcing SSHE guidelines for the department.
    • Inform the Manager of any SSHE and facilities-related issues or concerns raised by staff.
    • Assist in maintaining and upkeeping the overall housekeeping of the office.

Requirements:

To be successful in this role, candidates should possess the following skills and qualifications:

  • A degree in a related field.
  • At least 2-3 years of working experience or exposure in a similar role.
  • Willingsness to be based at the office in Bangsar South.
