Job Overview
  1. Visa Application: Assist in performing all necessary administrative work regarding visa application, ensuring seamless processes for international students.
    • Liaise with Sales teams to gather supporting documents, verify information, and make copies as required.
    • Coordinate with Education Counselors to obtain accurate documents, and communicate with internal stakeholders for letters or payment advice.
    • Work closely with EMGS and Immigration Department to submit visa applications, Special Pass applications, and cancellation of student passes.
    • Ensure the complete visa application process is followed until VAL is received from Immigration.
  2. EMGS and Immigration Liaison:
    • Submit visa applications (new and renewal) to EMGS.
    • Handle passport submissions to State Immigration for visa endorsement, cancellation, and Special Pass applications.
    • Follow up with EMGS on pending issues to resolve them efficiently.
  3. Airport Pick-up Arrangement:
    • Receive airport pickup notices from ECs, students, and agents, and update tracking files accordingly.
    • Coordinate logistics for airport pick-ups, preparing letters for security and immigration clearance.
    • Perform airport pick-ups, assisting students with immigration clearance.
  4. Student Transfer and Deferment:
    • Collaborate with students, faculties, and departments to gather supporting documents for transfer, deferment, and withdrawal requests.
    • Capture system updates, cancel visas, and assist students in obtaining Exit Stamps.
  5. Student Attrition Management:
    • Liaise with Faculties to locate MIA students, contacting students, parents, or agents when necessary.
    • Report student attrition to local authorities and embassies, such as Police Department, Immigration Department, and EMGS.
  6. Student Station Counter Operations:
    • Maintain a minimum of one person at the Student Station Counter at any given time.
    • Contribute to the rotation of manning the counter during lunch and prayer breaks.
    • Treat walk-in students with care, understanding, and aim for customer satisfaction.
  7. Overall Administrative Duties:
    • Update and maintain student files according to established procedures, working closely with the Registry Office.
    • Ensure timely submission of files to the Registry Office for audits by KDN and MOHE.
    • Regularly update live trackers for payments, visa applications, and other important data.
    • Coordinate medical cards with EMGS and handle student inquiries and admission assistance.
  8. Student Enrollment and Reporting:
    • Guide students through the enrollment process, including post-medical checks, bank account opening, and welfare support.
    • Liaise with faculties and departments on student welfare and absenteeism.
