About the Role:
We are seeking a highly organized and detail-oriented Administrative Officer to join our team at IS DISTRIBUTION SDN BHD in Kuching, Sarawak, Malaysia.
As an Administrative Officer, you will be responsible for ensuring smooth workflows by identifying and resolving operational and logistical challenges effectively. You will also be tasked with developing and executing solutions to support the growth of our business.
The ideal candidate will possess excellent problem-solving and communication skills, as well as a proactive and detail-oriented mindset.
Duties and Responsibilities:
- Problem Solving: Identify and resolve operational and logistical challenges effectively.
- Solution Implementation: Develop and execute solutions to ensure smooth workflows.
- Documentation Management: Handle and maintain accurate records of all documentation work.
- Site Completion Oversight: Ensure all site-related tasks are completed and reported appropriately.
- Technical Team Arrangement: Organize and allocate technical staff for support as needed.
- Customer Appointments: Schedule and confirm appointments with customers.
- Document Preparation: Prepare, review, and organize necessary documents for operations.
- Purchase Order Management: Process and monitor purchase orders efficiently.
- Payment Processing: Handle payments and ensure timely transactions.
- Salary Calculation: Calculate and process employee salaries accurately.
- Expense Management: Monitor and manage company expenses effectively.
- General Administrative Support: Provide comprehensive support for all administrative tasks as required.
Key Responsibilities:
- Documentation & Record Keeping: Manage and maintain accurate records, including reports, invoices, and purchase orders.
- Team Coordination: Arrange schedules for installers and technical teams, oversee site completion and ensure proper reporting.
- Customer Management: Schedule and confirm customer appointments, address customer inquiries professionally, process payments, and maintain billing notes.
- General Administrative Support: Solve operational issues and implement solutions, provide overall support for daily administrative operations.
Requirements:
- Qualifications & Skills: Diploma or Degree in Business Administration, Management, or a related field; Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); Strong organizational and multitasking abilities.
- Experience: At least 1-2 years of experience in administrative or office management roles (preferred).
- Personal Attributes: Excellent problem-solving and communication skills; A proactive and detail-oriented mindset; Ability to work independently and as part of a team.
