We are seeking a highly organized and detail-oriented Administrative Officer to join our team and support the growth of our business.
The successful candidate will have excellent problem-solving and communication skills, as well as a proactive and detail-oriented mindset.
Duties and Responsibilities:
- Ensure Smooth Workflows: Identify and resolve operational and logistical challenges effectively.
- Develop Solutions: Develop and execute solutions to support the growth of our business.
- Manage Documentation: Handle and maintain accurate records of all documentation work.
- Oversight Site Completion: Ensure all site-related tasks are completed and reported appropriately.
- Arrange Technical Teams: Organize and allocate technical staff for support as needed.
- Schedule Customer Appointments: Schedule and confirm appointments with customers.
- Prepare Documents: Prepare, review, and organize necessary documents for operations.
- Process Purchase Orders: Process and monitor purchase orders efficiently.
- Handle Payments: Handle payments and ensure timely transactions.
- Calculate Salaries: Calculate and process employee salaries accurately.
- Manage Expenses: Monitor and manage company expenses effectively.
- Provide General Administrative Support: Provide comprehensive support for all administrative tasks as required.
Key Responsibilities:
- Manage Records: Manage and maintain accurate records, including reports, invoices, and purchase orders.
- Coordinate Teams: Arrange schedules for installers and technical teams, oversee site completion and ensure proper reporting.
- Manage Customers: Schedule and confirm customer appointments, address customer inquiries professionally, process payments, and maintain billing notes.
- Provide General Support: Solve operational issues and implement solutions, provide overall support for daily administrative operations.
Requirements:
- Qualifications & Skills: Diploma or Degree in Business Administration, Management, or a related field; Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); Strong organizational and multitasking abilities.
- Experience: At least 1-2 years of experience in administrative or office management roles (preferred).
- Personal Attributes: Excellent problem-solving and communication skills; A proactive and detail-oriented mindset; Ability to work independently and as part of a team.
