Job Responsibilities:
- We are seeking a highly skilled professional to join our Corporate Services & HR team as a Head of Corporate Administration. The ideal candidate will have a strong background in business administration, facilities management, or a related field, with a proven track record of delivering results in fast-paced, global teams.
- The role plays a critical part in shaping the company's office environments, ensuring they reflect its vision, purpose, and culture, creating a professional and inspiring workplace for employees and visitors alike.
Main Goals:
- Office Administration & Facilities Management
- Oversee office administration across all company locations, ensuring efficient day-to-day operations.
- Develop and implement office policies, procedures, and best practices to enhance productivity.
- Manage office space planning, maintenance, and security to create a conducive work environment.
- Ensure that office aesthetics, functionality, and branding align with the company's vision and purpose.
- Liaise with building management and vendors for office-related services.
- Implement and oversee visitor management systems to provide a seamless experience.
- Establish protocols for guest registration, security clearance, and hospitality services.
- Work closely with security teams to ensure compliance with safety and confidentiality policies.
- Oversee the company's vehicle fleet, including procurement, maintenance, and utilization.
- Develop policies for vehicle usage, fuel management, and driver assignments.
- Ensure compliance with regulatory requirements related to corporate fleet operations.
- Lead the planning and execution of corporate events, including town halls, meetings, and employee engagement activities.
- Coordinate with internal and external stakeholders to ensure successful event execution.
- Manage event logistics, budgets, and post-event evaluations.
- Oversee contracts and service level agreements with office service providers.
- Optimize costs while maintaining service quality for corporate administration functions.
- Ensure adherence to company policies, industry regulations, and legal requirements.
- Identify risks related to office operations, visitor management, and fleet services, and implement mitigation plans.
Requirements:
- Bachelor's degree in Business Administration, Facilities Management, or a related field.
- Minimum 10 years of experience in office administration, facilities management, or corporate services, with at least 3 years in a leadership role.
- Experience managing multi-location office operations.
- Strong leadership and team management skills.
- Excellent organizational and problem-solving abilities.
- Strong vendor and contract management skills.
- Ability to manage multiple projects and stakeholders simultaneously.
- Strong communication and interpersonal skills.
- Proficiency in office administration tools and fleet management software is an advantage.
