**Administrator Responsibilities**:

**Responsibilities**:
**To assist and coordinate**:

- Setting up appointments between sales people and buyers according to the appropriate date and time and ensure that each appointment does not overlap and runs smoothly.
- Answering phone calls and calling customers or buyers to follow up on appointments.
- Listing the documents that the buyer needs to bring with them.
- Serve the buyer and explain the company's products in general.
- Prompt coordination to ensure accurate and timely processing of sales-related documentations.
- Respond to client inquiries and requests, providing assistance and information as needed.
- Assist in the handing over of vacant possession process.
- Assist in the organization and execution of administrative tasks related to sales events, open houses, and promotional activities at the sales gallery.

**Sales Submitted**:

- Ensure that the files/documents sent by the salesperson are completed and sent to the department RISK ASSESSMENT DIVISION (RAD) for next progress.
- Send all documents by post, monitors and ensures that they arrive in good condition.

**Handing Over Cheque**:

- Set appointment with buyers and collect document from prospects, verify the sales person and location of the project, presentation prospect regarding the loan, explanation about cheque and procedure.

**Accounting**:

- Record the attendance and calculation of employees' salaries and ensure that all utility bill payments are cleared every month according to the dateline and sent to HQ for payment.
- Daily tasks on accounts payable include preparing payment recording posting, verification and filling of documents.
- Manage the office fixed cost payment and ensure the payment has been made before the deadline. (E.g. Office rental, Photocopier Machine Rental, Utilities Bill, and Office Building Maintenance)
- Verify and process the employee’s monthly expenses claim and ensure that all documents are properly filed and organized.

**General Expenditure**:

- Handling administrative duties for the sales gallery and manage daily operations of the sales gallery and show units.
- Keeping the sales gallery in a clean, organized and neat.
- Prepare and serve tea, coffee, and other beverages to visitors. Ensure that all beverages are prepared hygienically and to a high standard. Maintain cleanliness and organization of the pantry and kitchen areas.
- Monitor and manage inventory levels of snacks and beverages, and other pantry supplies, ensuring timely replenishment.
- Adhere to health and safety guidelines and maintain a clean and safe working environment at all times.

**Qualifications & Skills**:

- Bachelor’s degree in Business Administration, Office Management, or a related field (preferred).
- Proven experience in administration, documentation management, or a similar role.
- Strong organizational and time-management skills.
- Excellent written and verbal communication abilities.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and document management software.
- High attention to detail and accuracy.
- Ability to handle confidential information with discretion.
